About the project:

US-based home medical equipment providers and hospitals run on tight schedules — missed deliveries, billing errors, and documentation gaps have real consequences. The team you'll be working with

Support works with almost every product at Headway Inc, in close contact with Product, Engineering, and Payments. Automation handles the routine. What reaches you is what it couldn't: refunds where the right call isn't obvious, users who've already had an answer and still don't have a solution.
 

How you grow here

Once your work on tickets is stable, you start taking on more alongside it – automations, analytics, knowledge base, the hardest cases – and eventually go deep in whichever direction fits you. The opportunities are there. Which ones you take, and when, is your call.

What you’ll do

• Handle complex user cases that require empathy and deep product understanding rather than templated responses.
• Work in synergy with AI tools: monitor response quality and continuously improve automation.
• Audit and improve support processes: identify inefficiencies and initiate scalable solutions.
• Act as a bridge between users and the product team by surfacing insights and recurring issues.
• Proactively detect anomalies or spikes in user requests and help mitigate risks early.
• Grow into the work behind the tickets – automations, analytics, and the knowledge base other agents rely on

Working schedule

This is a full-time position with a hybrid remote option. It means that you can decide for yourself: whether you want to work from the office, remotely, or combine these options.

Support works in shifts: 8 hours a day, either Sunday to Thursday or Tuesday to Saturday.

🔥 About the Role

We are looking for an organized and detail-oriented Documentation & Client Case Specialist to manage client documentation and support cases from the initial request through completion.

This is primarily a documentation and case-processing position, rather than a traditional customer support or sales role.

Your daily work will include collecting and checking client information, completing forms, requesting missing documents, updating case records, monitoring deadlines, and coordinating with internal teams and external service providers.

You will also keep clients informed throughout the process and recommend additional services when they are relevant to the client’s needs.

Full onboarding and training in Irish company formation, accounting, tax, and compliance procedures will be provided.

💫 Key Responsibilities

• Manage multiple client cases from onboarding through completion.
• Collect, prepare, review, and organize client documentation.
• Check personal, identification, financial, and company information for completeness and accuracy.
• Complete forms and ensure that all required information is submitted correctly.
• Identify missing or incorrect information and follow up with clients.
• Track case statuses, deadlines, outstanding documents, and next actions.
• Maintain accurate client records, notes, and communication history in CRM.
• Coordinate company formation, accounting, tax registration, and compliance requests.
• Communicate with internal departments, external partners, and relevant service providers.
• Keep clients informed about progress, requirements, and deadlines.
• Prepare quotations, proposals, and other client documents.
• Identify appropriate cross-selling and upselling opportunities.
• Resolve client issues while following established procedures.

💥 Requirements

• At least two years of experience in document-based case management, client onboarding, administration, compliance support, legal support, accounting support, banking operations, insurance, immigration, property transactions, or a similar field.
• Hands-on experience preparing, completing, collecting, reviewing, or verifying client documents.
• Experience working with personal, identification, financial, or confidential information.
• Experience managing several cases simultaneously and tracking each case until completion.
• Strong written and spoken English at C1 level.
• Experience using CRM or case-management systems such as HubSpot, Zoho, Bitrix24, Salesforce, or similar.
• Strong attention to detail and the ability to identify missing or incorrect information.
• Excellent organization, follow-up, and deadline-management skills.
• Comfortable performing repetitive, process-based administrative work.
• Ability to follow established procedures accurately and consistently.
• Strong client communication skills and a professional approach.
• Comfortable working in a KPI-driven environment.
• Reliable employment history and interest in a stable, long-term role.

🚀Technical Support Engineer (night shifts) full time position

We’re looking for a Technical Support Engineer to join our remote team and ensure smooth operation of our applications during week days .

Schedule: Monday–Friday:

00:00–08:00 (GMT+3)

Location: Remote

🎯What you’ll do

• Provide prompt, professional support via chat, email, and ticketing tools
• Monitor infrastructure & app health to ensure uptime and performance
• Troubleshoot bugs; escalate critical issues to the engineering team when needed
• Run routine checks on cloud services and resolve infra-level problems
• Log incidents, track resolutions, and evolve our internal knowledge base
• Partner with Engineering & QA for smooth handovers and clear communication

🧩What we’re looking for: 

• Сonversational English level: at least Upper-Intermediate, and if it's higher, that's even better.
• 6+ months experience with Python & Django OR no commercial experience but:
  • Completed relevant courses/bootcamps (e.g., Python, Django, Databases, AWS)
  • Strong technical fundamentals (data types, HTTP, REST, git, basic Linux, debugging)
  • Hands-on projects (pet projects, labs, or internships) — GitHub links welcome
• Good knowledge of PostgreSQL (or another relational DB)
• Familiarity with AWS (EC2, S3) — basics are fine
• Solid analytical & debugging skills
• Basic understanding of REST APIs and front-end (HTML, CSS, JavaScript)
• Clear communicator; comfortable working independently and as part of a team

Nice to have

• Experience with Docker/Kubernetes and CI/CD pipelines
• Knowledge of web app security principles
