Marketing Operations Manager

The Marketing Operations Manager drives the execution of marketing initiatives across newsletters, paid media, social, and growth. Acting as the link between strategy and execution, they coordinate cross-functional projects, optimize marketing processes, and ensure initiatives are delivered on time and to a high standard.

Partnering closely with the email Marketers, you will drive newsletter growth and engagement. 

We're looking for someone who is proactive, ambitious, and motivated to build best-in-class marketing programs, keeping work moving while continuously improving performance and execution.

 

 

Must Have

  • 5+ years in project management with direct experience running marketing initiatives
  • Marketing fluency: you know how newsletters, paid, social, and growth work and can contribute to strategy
  • Proven ability to manage multiple marketing workstreams simultaneously without dropping quality
  • Experience building and rolling out project management processes and SOPs across a team
  • Hands-on AI tool use in your daily work (hard requirement) โ€” you use them to move faster and can describe exactly how
  • Strong problem-solving skills: root cause analysis, structured thinking, clear recommendations
  • Clear, structured communication โ€” updates, escalations, and feedback are always actionable
  • Ownership mindset: you follow through, remove blockers, and drive progress without supervision
  • Organisational precision: multiple priorities, deadlines, and stakeholders managed simultaneously
  • Excellent English, written and verbal (C1 or above)
  • Ready to grow into a team leadership role as the marketing function scales

 

Nice to Have

  • Background in newsletter, media, affiliate, or performance marketing environments
  • Hands-on campaign experience โ€” having run campaigns, not just managed the people who did
  • Experience with workflow automation tools such as Make, Zapier, or similar
  • Familiarity with project management tools: Notion, ClickUp, Asana, or Airtable
  • Experience with email platforms, newsletter operations, or audience growth metrics
  • Experience working with designers, writers, QA teams, or cross-functional partners

 

What You Will Own

You run marketing execution and operations across your pod.

 

1. Marketing Project Execution

  • Drive marketing initiatives from brief to completion across newsletters, paid, social, and growth โ€” with clear timelines, owners, and defined outputs
  • Track all active projects, flag delays early, and push to completion without waiting to be asked
  • Manage timelines, dependencies, and priorities across multiple workstreams running in parallel
  • Hold quality and momentum across every initiative โ€” nothing falls behind because attention drifted

 

2. Newsletter Initiative Leadership

  • Partner with the Senior Email Marketing Manager to plan and drive newsletter growth initiatives end to end
  • Turn newsletter growth goals into structured project plans with milestones, dependencies, and clear accountability
  • Coordinate writers, designers, and contributors so the email marketer stays focused on performance and deliverability
  • Bring marketing judgment to newsletter projects โ€” contribute to strategy and quality, not just timeline

 

3. Newsletter Health & Performance Monitoring

  • Monitor newsletter health, growth, send consistency, segmentation, metrics accuracy, and unsubscribes
  • Flag open rate drops, bounce issues, missing promo, or stalled development early
  • Ensure marketers complete initial troubleshooting before escalating; review their proposed solution first
  • Bring leadership a structured case with context, findings, and recommended next steps โ€” not a raw problem
  • Document approved fixes into SOPs and follow up until implemented

 

4. Broader Marketing Coordination

  • Coordinate paid, social, and growth initiatives alongside newsletters โ€” keeping the full marketing picture aligned
  • Translate marketing priorities into clear, actionable plans with owners, deadlines, and defined outputs
  • Identify where marketing efforts overlap, conflict, or leave gaps, and resolve with structure
  • Support campaign launches, content pushes, and growth experiments with tight, reliable execution

 

5. Process, Systems & Reporting

  • Build and maintain project management infrastructure: trackers, status cadences, dependency maps, documentation
  • Create repeatable SOPs for recurring project types so the team executes consistently
  • Maintain dashboards and trackers that reflect the true status of every initiative at all times
  • Provide regular, tight status updates that give clarity without drowning the team in detail
  • Identify bottlenecks across marketing delivery and fix them with systems, not workarounds

 

6. Team Leadership & Development

  • Run team problem-solving sessions, case reviews, and execution reviews without leadership involvement
  • Hold 1:1s and check-ins calibrated to each marketer's level and current needs
  • Coach marketers to bring analysis and recommendations, not just problems
  • Ensure only structured, validated topics reach leadership
  • Communicate and implement new SOPs; confirm they are understood and applied in execution

 

7. Operational Follow-Through

  • Ensure every triggered workflow has an owner, a next action, and a follow-up โ€” not just a notification
  • Prevent marketers from completing their part and going idle when the process still needs to move
  • Track newsletter growth milestones; follow up when promo, QA, or partner actions are missed or delayed
  • Track paused newsletters: reason, start date, and resumption conditions
  • Reopen delayed items and surface blockers when progress stalls

 

8. AI & Smart Tooling

  • Use AI tools to accelerate project planning, research, content coordination, and reporting
  • Build AI into the marketing project workflow as a genuine operational advantage
  • Continuously track new AI and automation tools and bring the useful ones into the operation
  • Raise AI fluency across the marketing team โ€” model the behaviour and document the processes

 

9. Quality Control & Escalation

  • Act as the first review layer โ€” validate issues, prior attempts, and solutions before escalating
  • Review drafts, solutions, and tasks before they move to designers or approval; ensure work is execution-ready
  • Review AI writer output; flag quality patterns with specific examples and follow up on fixes
  • Track designer tasks and follow up on delays; confirm completed work moves into execution without sitting idle
  • Confirm subscriber inboxes are actively monitored; ensure responses and unsubscribes are actioned promptly

 

10. Transfers & Additional Projects

  • Track active newsletter transfers; follow up on delayed milestones with clear ownership and next actions
  • Coordinate side projects within the team; escalate only when a decision above PM level is needed
