Finance Operations Specialist (Europe, outside of Ukraine)

We are looking for an organized, structured and detail-oriented Finance Operations Specialist to join our finance team. In this role, you will manage the full accounts payable cycle — from collecting and reviewing vendor invoices to executing payments and maintaining accurate records in QuickBooks. You will be a key contact for contractors, service providers, and banking institutions, and support the finance function with payment forecasting, tax preparation assistance, and compliance with banking requirements. We welcome proactive and open minded team player who is open for continuous improvement of our finance processes.

What you’ll do:

• Collect invoices from contractors and service providers; review for accuracy and resolve discrepancies directly with vendors
• Prepare and maintain payment registers, ensuring completeness and proper authorization
• Process vendor and intercompany payments in accordance with agreed terms and internal deadlines
• Post and reconcile bank statements and invoices in QuickBooks; ensure all transactions are posted correctly and on time
• Prepare intercompany invoices and coordinate with related entities to ensure timely settlement
• Prepare weekly cash flow forecasts for outgoing payments to support treasury planning
• Communicate with banks and payment institutions regarding payment status, account inquiries, and documentation requests
• Assist with the preparation of supporting information and documentation for VAT returns and other tax filings, including gathering transaction data and reconciling input/output VAT records

Hard Skills:

• Minimum 1 year in AP, accounting, or a similar finance role
• Excel proficiency. Comfortable with formulas (VLOOKUP, SUMIF, IF, etc.) for data handling and reconciliation
• Accounting basics. Understanding of double-entry bookkeeping and the AP cycle
• English B1. Sufficient for written and verbal communication with banks and external counterparties

Soft Skills:

• Attention to detail. Accurate data entry and ability to spot discrepancies quickly
• Team player. Collaborative attitude with the ability to work effectively across finance and other teams
• Open to innovation. Willingness to adopt automation tools and propose solutions for simplifying routine finance tasks

Location. Based in Europe (outside of Ukraine with valid EU residence permit)

Would be a plus:

• QuickBooks. Prior experience is an advantage; willingness to learn is required
• Banking & payment institutions. Experience working with banks and payment service providers; familiarity with account opening procedures, payment instructions, and banking documentation is an advantage
• KYC awareness. Understanding of Know Your Customer requirements; ability to prepare and submit KYC documentation packages for banks and counterparties is an advantage
