Our customers love our products, our growth is real - and we need someone to run the operational machine while the founder focuses on building the brand and developing new products.
Amazon is our primary growth vehicle. We're an AI-first company: every team member uses AI tools daily, and we expect you to be ahead of the curve - not catching up.
π― Mission of the Role
As Operations Manager, you will be the #2 at this company - not on paper, but for real. You'll own every operational system, every process, every meeting, every deadline, and the daily output of your direct reports.
Within 90 days, the founder should be able to step away from day-to-day operations entirely. You make that possible by actually owning it - not checking boxes and waiting to be told what to do next.
Requirements
πΉ 3+ years managing operations for an Amazon FBA brand ($2M+ annual revenue)
πΉ Managed at least 3 remote team members directly
πΉ Advanced daily user of AI tools (Claude, ChatGPT) β with demonstrable examples
πΉ English fluency β this is a writing-heavy role; communication must be crystal clear
πΉ Available during core hours: 9 AMβ2 PM AST (UTC-4)
πΉ Built SOPs and operational systems from scratch
πΉ Proficient in Amazon Seller Central: inventory, IPI score, stranded inventory, FBA shipments
πΉ Proficient in Asana (or equivalent) and Excel/Google Sheets
β οΈ This role includes a 90-day probationary period with performance evaluations at 30, 60, and 90 days.
Responsibilities
π₯ Team Management
πΈ Directly manage inventory/ops lead, graphic designer, and PPC team
πΈ Run daily async standups, weekly team meetings, and weekly 1-on-1s
πΈ Build KPI frameworks for every role; hold people accountable
πΈ Handle all performance issues β late deliverables, unclear work, sub-standard output
π¦ Inventory & Supply Chain
πΈ Review and approve all reorder recommendations before POs go to suppliers
πΈ Verify sales velocity, lead times, safety stock, and FBA receiving timelines
πΈ Own the shipment pipeline: supplier β freight β FBA inbound β 3PL coordination
πΈ Monitor sell-through rates, days of supply, and proactively flag stockout risks
πΈ Run a weekly inventory review covering stock levels, inbound status, and flags
π PPC Oversight
πΈ Run weekly PPC check-ins; collect reports, format data, flag anomalies
πΈ Own the operational rhythm around PPC β not the strategy itself
π Reporting
πΈ Deliver a weekly ops report: team performance, project status, inventory flags, vendor updates, financial summary, blockers
πΈ Goal: founder goes from checking 6 platforms daily to reading one report and having one 30-minute call per week
ποΈ Project Management
πΈ Own the entire Asana workspace: task creation, assignment, due dates, follow-up
πΈ Build templates for recurring workflows; maintain one clean dashboard
πΈ Nothing falls through the cracks β period
π SOPs & Systems
πΈ Document all core workflows: supply chain, product launch, listing updates, shipments
πΈ Build a company knowledge base so nothing lives only in someone's head
πΈ If you're writing SOPs manually without AI assistance, you're already behind
π° Financial Operations
πΈ Final sign-off on all supplier invoices before payment
πΈ Manage software subscriptions, service providers, and recurring payments
πΈ Track payment schedules, flag unused tools, deliver a weekly financial summary
π€ Vendors & Contractors
πΈ Serve as primary point of contact for all external consultants and contractors
πΈ Follow up aggressively on timelines; flag delays with options, not just problems
π Hiring & Onboarding
πΈ Lead the hiring process for new roles
πΈ Build 30/60/90-day onboarding plans for new team members
