About the Company

We are a growing U.S.-based trucking and logistics company with approximately 25 drivers and an international remote back-office team.

We are hiring a full-time Talent Acquisition & Recruitment Marketing Coordinator to manage the daily execution of recruiting, candidate sourcing, screening, recruitment social media, and AI-assisted content production.

This is a hands-on coordinator role. It is not a recruiting manager, HR manager, or strategic marketing position.

The company will provide the job requirements, compensation, facts, and key message. Your responsibility will be to turn that information into professional job posts, graphics, videos, presentations, sourcing campaigns, and an organized candidate pipeline.

Main Responsibilities

Job Posting and Platform Management

• Publish and manage vacancies on Djinni, LinkedIn, Facebook groups, job boards, and other approved platforms.
• Complete all vacancy settings, screening questions, salary fields, schedules, locations, and application instructions.
• Refresh, update, and repost vacancies when needed.
• Create and maintain company recruiting pages and profiles.
• Track where each candidate and application came from.
• Maintain an organized database of job boards, Facebook groups, candidate communities, and sourcing channels.
• Follow platform rules and avoid spam or activity that may restrict company accounts.
• Respond to routine candidate questions using approved company information.

Candidate Sourcing

• Actively search for candidates instead of relying only on applications.
• Source through Djinni, LinkedIn, Facebook, job boards, databases, referrals, and direct outreach.
• Build candidate lists for open and future positions.
• Send personalized outreach and follow-up messages.
• Recontact qualified previous applicants.
• Maintain reusable talent pools for operations, safety, fleet, dispatch, IT, administration, recruiting, marketing, project coordination, and other roles.
• Prevent duplicate outreach and duplicate candidate records.

Resume Review and Initial Screening

• Review resumes, profiles, portfolios, applications, and screening answers.
• Compare candidates against written requirements and scorecards.
• Check experience, dates, responsibilities, tools, location, schedule, English level, compensation expectations, and availability.
• Conduct structured initial screening calls in English.
• Record candidate answers accurately.
• Request missing information, documents, examples, or clarification.
• Reject clear mismatches using approved templates.
• Prepare qualified and borderline candidates for management review.
• Create factual candidate summaries and identify concerns requiring management attention.

You will not make final hiring decisions or negotiate final compensation.

Candidate Verification

• Compare information across resumes, LinkedIn, Djinni, portfolios, and applications.
• Check employment dates, employers, titles, locations, responsibilities, and overlaps.
• Open and review all professional links submitted by candidates.
• Verify portfolios, certificates, and publicly available professional information when reasonably possible.
• Coordinate reference checks after approval.
• Document inconsistencies clearly without making unsupported accusations.

AI Content, Graphics, Videos, and Presentations

This is a core responsibility of the position.

You will turn company-provided information into professional recruiting materials without requiring a separate designer.

You may create:

• LinkedIn recruitment graphics.
• Facebook hiring advertisements.
• Instagram and Facebook stories.
• Short recruitment videos and reels.
• Vacancy introduction videos.
• Candidate-facing presentations.
• Hiring-process presentations.
• “Why work with us” materials.
• Driver and employee recruitment campaigns.
• Reusable branded vacancy templates.
• Department-specific recruiting materials.
• Multiple creative versions for testing.

You will be responsible for:

• Visual structure and hierarchy.
• Typography, spacing, and alignment.
• Appropriate image selection.
• Logo placement and brand consistency.
• Subtitles and simple motion.
• Platform-specific sizing.
• Clear calls to action.
• Final quality control.

You should be comfortable using tools such as:

• ChatGPT, Claude, or similar AI assistants.
• Canva or a comparable design platform.
• CapCut or comparable video-editing software.
• AI image-generation tools.
• AI presentation, voiceover, and subtitle tools.
• Background-removal, resizing, enhancement, and format-conversion tools.

We do not require a professional graphic designer. However, you must have strong visual judgment and be able to produce finished materials that look professional, clear, and appropriate for a U.S. company.

Recruitment Social Media

• Maintain a recruitment content calendar.
• Publish approved vacancies, hiring announcements, employee stories, and recruiting campaigns.
• Adapt content for LinkedIn, Facebook, Instagram, and other approved platforms.
• Monitor recruitment-related comments and messages.
• Respond or escalate questions appropriately.
• Organize company photos, videos, testimonials, templates, and brand materials.
• Track which posts, channels, formats, and messages produce qualified candidates.
• Improve future materials using performance data and feedback.

This role supports recruitment and employer-branding content. It does not own the company’s overall marketing strategy.

Candidate Communication and Interview Coordination

• Manage candidate communication professionally and promptly.
• Schedule screening calls, tests, management interviews, and follow-ups.
• Send confirmations and reminders.
• Reschedule canceled interviews.
• Prevent missed or duplicate bookings.
• Follow up on missing information or incomplete tests.
• Collect feedback from managers.
• Send approved invitations, updates, rejection messages, and next-step instructions.
• Keep qualified candidates informed throughout the process.

ClickUp and Recruitment Pipeline Management

• Maintain one accurate ClickUp record for every candidate.
• Update candidate stages, sources, follow-up dates, interview notes, salary expectations, documents, links, verification findings, test results, and outcomes.
• Ensure no candidate is lost because of a missing follow-up.
• Maintain recruiting dashboards and weekly reports.
• Identify incomplete records and process delays.
• Maintain reusable templates, questionnaires, scorecards, checklists, and message templates.
• Help improve the recruiting workflow.

Experience with another ATS, CRM, or project-management system is acceptable if you can learn ClickUp quickly.

Onboarding Coordination

After a candidate is approved, you may:

• Send onboarding checklists and collect documents.
• Create and maintain the ClickUp onboarding task.
• Coordinate orientation, training, account setup, and first-day scheduling.
• Notify managers, IT, accounting, or other departments.
• Confirm that the new employee received the correct instructions.
• Track completion of onboarding steps.
• Follow up after the first day and first week.

Expected Work Distribution

The weekly workload will normally include:

• 25–30% AI content, graphics, videos, and presentations.
• 20–25% candidate sourcing and outreach.
• 15–20% resume review and initial screening.
• 10–15% vacancy publishing and recruitment social media.
• 10–15% candidate communication and scheduling.
• 5–10% ClickUp administration, verification, reporting, and onboarding.

When fewer positions are open, you will build future candidate pipelines, create evergreen campaigns, improve templates, research sourcing channels, organize previous applicants, and improve the recruiting system.

Required Qualifications

• At least one year of practical experience in recruiting coordination, sourcing, recruitment assistance, recruitment marketing, or a related position.
• Experience posting vacancies and actively searching for candidates.
• Experience reviewing resumes and communicating with applicants.
• Experience conducting initial screening calls in English.
• Strong hands-on experience creating social-media graphics and short videos.
• Practical experience with Canva or a comparable design tool.
• Practical experience with CapCut or comparable video-editing software.
• Regular professional use of AI tools for content production.
• Ability to turn rough information into finished professional materials.
• Strong written and spoken English, minimum B2.
• Excellent attention to detail and follow-up discipline.
• Ability to manage several vacancies and candidate pipelines at the same time.
• Experience with ClickUp, an ATS, CRM, or another structured workflow system.
• Reliable computer, internet connection, camera, and remote-work environment.

Portfolio Requirement

Applicants must provide examples of personally created work, including:

• At least two social-media graphics.
• At least one short video or reel.
• At least one presentation, carousel, or multi-page visual.
• A brief explanation of which tools were used and what was completed personally.

Position Authority

This is a coordinator-level execution role.

You will not be responsible for:

• Creating workforce strategy.
• Making final hiring decisions.
• Approving compensation.
• Negotiating final offers.
• Conducting final management interviews.
• Managing recruiters.
• Creating company-wide marketing strategy.
• Handling payroll, employee discipline, or legal HR decisions.

Work Schedule

• Full-time, Monday through Friday.
• Eight working hours per day with a one-hour break.
• At least six hours of daily overlap with 7:00 a.m.–4:00 p.m. Chicago Central Time.
• Reliable attendance during agreed working hours is required.

Compensation

• $1,200–$1,600 per month after taxes, depending on experience, portfolio quality, English, and practical test performance.
• Up to $1,800 may be considered for an exceptional candidate who is strong in both recruitment and creative production.

Responsibilities:

• Manage a portfolio of 7-10 accounts (predominantly staff augmentation) and drive the adoption of managed projects and outsourcing solutions. • Identify upsell opportunities and expansion areas within your accounts to drive revenue growth.
