Chief Operating Officer (COO)
New Vision Agency is a Ukrainian-American company specializing in Building Information Modeling (BIM) and Virtual Design and Construction (VDC). We help U.S. construction and architecture teams turn drawings and point clouds into accurate 3D models, identify potential issues, and coordinate complex projects before construction begins.
We are a Diia.City resident and a member of the American Chamber of Commerce in Ukraine.
As we grow, we are looking for a Chief Operating Officer to lead our operational functions, strengthen coordination across teams, and build a business that runs reliably without the CEOโs daily involvement.
This role reports directly to the CEO and combines leadership of production department heads with oversight of internal operations, process improvement, and business continuity.
Your key responsibilities:
- Lead production department heads and operational teams, establishing clear ownership and accountability.
- Coordinate delivery, finance, and sales operations, ensuring client commitments match available team capacity.
- Plan and balance workloads across departments, monitor delivery timelines, and address operational blockers.
- Audit existing workflows, standardize processes, and reduce manual work and unnecessary approvals.
- Oversee payroll, vendor payments, and operational expenses within CFO-approved budgets.
- Ensure internal systems, tools, and documentation support efficient daily work.
- Build backup coverage for critical roles and processes, manage operational incidents, and develop succession plans.
- Establish operational KPIs and provide the CEO with clear reporting on performance, costs, and risks.
What we expect from you:
- Experience in a senior operations leadership role, with responsibility for multiple teams or business functions.
- Experience managing managers or department heads and building accountable teams.
- A track record of improving processes, implementing standard operating procedures, and driving automation.
- Understanding of delivery management, capacity planning, budgeting, and operational financial controls.
- Ability to translate business priorities into clear responsibilities, measurable goals, and consistent execution.
- Experience working with operational KPIs and making decisions based on data.
- Strong judgment, communication skills, and the ability to resolve cross-functional issues independently.
What we offer:
- Official employment and medical insurance.
- A flexible hybrid schedule, 40 hours per week.
- A leadership role reporting directly to the CEO, with authority to improve operational processes and implement your own initiatives.
- A fixed base salary during the first three months, followed by a USD base salary and an annual bonus linked to net profit targets.
- Professional development and company-supported training, including Kyiv-Mohyla Business School (KMBS) programs.
- Access to our in-house English language school.
- Participation in Lean initiatives and continuous improvement projects.
- International business trips.
- Corporate taxi and legal support with military registration matters.
- Team-building events, workshops, and knowledge sharing.
- Gifts for holidays and birthdays.
- A parking space near the office, if needed.
If you have experience building reliable operations and leading teams through growth, we would be glad to hear from you.
