π₯ About the Role
We are looking for an organized and detail-oriented Case Manager & Client Services Coordinator to manage client documentation and support cases from the initial request through completion.
This is primarily a documentation and case-processing position, rather than a traditional customer support or sales role.
Your daily work will include collecting and checking client information, completing forms, requesting missing documents, updating case records, monitoring deadlines, and coordinating with internal teams and external service providers.
You will also keep clients informed throughout the process and recommend additional services when they are relevant to the clientβs needs.
Full onboarding and training in Irish company formation, accounting, tax, and compliance procedures will be provided.
π« Key Responsibilities
- Manage multiple client cases from onboarding through completion.
- Collect, prepare, review, and organize client documentation.
- Check personal, identification, financial, and company information for completeness and accuracy.
- Complete forms and ensure that all required information is submitted correctly.
- Identify missing or incorrect information and follow up with clients.
- Track case statuses, deadlines, outstanding documents, and next actions.
- Maintain accurate client records, notes, and communication history in CRM.
- Coordinate company formation, accounting, tax registration, and compliance requests.
- Communicate with internal departments, external partners, and relevant service providers.
- Keep clients informed about progress, requirements, and deadlines.
- Prepare quotations, proposals, and other client documents.
- Identify appropriate cross-selling and upselling opportunities.
- Resolve client issues while following established procedures.
π₯ Requirements
- At least two years of experience in document-based case management, client onboarding, administration, compliance support, legal support, accounting support, banking operations, insurance, immigration, property transactions, or a similar field.
- Hands-on experience preparing, completing, collecting, reviewing, or verifying client documents.
- Experience working with personal, identification, financial, or confidential information.
- Experience managing several cases simultaneously and tracking each case until completion.
- Strong written and spoken English at C1 level.
- Experience using CRM or case-management systems such as HubSpot, Zoho, Bitrix24, Salesforce, or similar.
- Strong attention to detail and the ability to identify missing or incorrect information.
- Excellent organization, follow-up, and deadline-management skills.
- Comfortable performing repetitive, process-based administrative work.
- Ability to follow established procedures accurately and consistently.
- Strong client communication skills and a professional approach.
- Comfortable working in a KPI-driven environment.
- Reliable employment history and interest in a stable, long-term role.

Experience in one or more of the following areas will be a strong advantage:
- Corporate services or company formation;
- KYC/KYB, AML, or client onboarding;
- Legal, accounting, tax, or compliance administration;
- Government forms, official portals, or company registries;
- Banking, mortgage, insurance, or financial-services operations;
- Immigration or visa case management;
- Conveyancing or property transaction coordination;
- International B2B client services;
- Cross-selling or recommending additional professional services;
- Additional languages such as German, Spanish, Chinese, French, or Italian.
