Operations Project Manager / Chief of Staff (eCommerce, Media)
A founder-led business operating two remote projects — Bravario, an e-commerce / Amazon / operations project, and Challenger, a media / YouTube project — is looking for a strong Project Manager / Chief of Staff.
This person will act as the founder’s right hand in operational management and will help keep teams, tasks, deadlines, follow-ups, time tracking, the founder’s calendar, and the overall execution rhythm under control.
We are looking for a mature, highly structured, and firm person who can manage people, drive accountability, identify risks early, and turn operational chaos into clear systems and actions.
Requirements
- 3–5 years of experience in project management, operations management, Chief of Staff, operational coordination, or similar roles.
- Experience managing remote teams and coordinating several people or functions at the same time.
- Experience managing a team of 3+ people and being responsible not only for personal results, but also for the results of others.
- Strong skills in managing deadlines, follow-ups, task systems, and regular management reporting.
- Highly structured mindset: ability to turn chaos into clear tasks, owners, next actions, and deadlines.
- Ability to firmly but respectfully hold both the team and the founder accountable for tasks, priorities, and timelines.
- Experience with Asana, Google Workspace, documents, spreadsheets, templates, and task management tools.
- Ability to use AI tools for summaries, meeting notes, follow-ups, systematization, and meeting protocols.
- Working English level B2+: ability to read documentation, use English-language tools, and communicate with suppliers, contractors, and external partners.
- Readiness to be deeply involved in two projects and stay available throughout the working day, not only check in occasionally.
- Mandatory availability for key calls from 9:00 AM to 12:00 PM Los Angeles time.
Responsibilities
- Control tasks across two projects: Bravario and Challenger.
- Make sure every task has an owner, next action, and due date.
- Follow up on deadlines, blockers, execution quality, and team accountability.
- Join the founder’s key calls, capture decisions, action items, responsible owners, and deadlines.
- Turn meetings into clear task lists and control execution afterward.
- Help shorten working calls through preparation, brief audits, and clear time limits.
- Manage daily / weekly updates and prepare short weekly management summaries: progress, risks, weak spots, blockers, and topics requiring approval or founder input.
- Control time tracking and team workload, identifying overload, underload, bottlenecks, and risks in advance.
- Manage the founder’s calendar and task list, protecting his focus and escalating only CEO-level topics.
- Identify recurring processes and turn them into SOPs, templates, rules, and clear workflows.
- Improve Asana, Google Workspace, documentation, templates, team structure, and communication systems.
- Maintain the company’s operating rhythm and make sure the execution system works without constant manual involvement from the founder.
Would be a plus
- Experience in e-commerce, Amazon, digital, media, YouTube, or startup environments.
- Previous experience as a Chief of Staff, Operations Manager, Project Manager, or Team Lead.
- Interest in modern project management approaches, AI tools, and process automation.
- Experience building SOPs, task management systems, and management reporting from scratch.
Work conditions
- Full-time remote role.
- Starting salary: $1,800–$2,000/month.
- Growth to $2,500+ is possible based on performance and KPIs.
- Key calls take place from 9:00 AM to 12:00 PM Los Angeles time.
- Operational availability is expected during the rest of the working day.
- International remote team.
- Internal communication is mainly in Russian.
- English is used for external partners, contractors, suppliers, and work tools.
