Accounting/Bookkeeping Specialist

We are looking for a reliable and detail-oriented Accounting / Bookkeeping Specialist to manage day-to-day bookkeeping, financial records, reconciliations, invoices, expense tracking, and basic financial reporting.

The ideal candidate should be highly organized, accurate, trustworthy, and comfortable working with accounting software, spreadsheets, bank statements, invoices, receipts, and financial documentation.

 

 

Key Responsibilities

1. Bookkeeping & Transaction Management

  • Maintain accurate and up-to-date bookkeeping records across all entities
  • Record all income, expenses, invoices, bills, payments, and financial transactions
  • Ensure proper classification of all financial entries in accounting systems
  • Identify and correct bookkeeping errors, missing documents, duplicate entries, or unusual transactions

2. Accounts Payable, Receivable & Invoicing

  • Manage accounts payable and accounts receivable processes
  • Collect contractors invoices and track outstanding receivables
  • Monitor vendor payments and ensure timely settlement of obligations
  • Track payment deadlines, recurring expenses, subscriptions, and contractual commitments

3. Bank & Payment Platform Reconciliation

  • Reconcile bank accounts, credit cards, Wise, Revolut, and other payment platforms with accounting records
  • Ensure monthly reconciliation between planned budgets and actual expenditures
  • Investigate and resolve discrepancies between systems and bank statements

4. Budgeting, Forecasting & Financial Analysis

  • Prepare monthly and quarterly budget forecasts (1โ€“3 month horizon)
  • Monitor planned vs actual spending and provide variance analysis
  • Prepare short analytical reports highlighting financial gaps, trends, and key insights
  • Support cost control and budget optimization initiatives

5. Payments & Payroll Support

  • Prepare monthly bulk payment runs for managers and employees (CEO approval required)
  • Process one-time payments (BBK, registered office, contractors/employees, vendors, and other obligations)
  • Ensure every payment is supported by valid documentation (invoice or contract) before execution
  • Support payment structure setup and ongoing optimization

6. Documentation & Financial Control

  • Maintain complete financial documentation for all transactions
  • Organize receipts, contracts, invoices, bank statements, and financial records in structured systems
  • Collect and maintain contractor deliverables, invoices, and monthly reports
  • Ensure all contractor documents are linked to relevant budget categories

7. Compliance & Regulatory Reporting

  • Submit VAT returns for DKA
  • Prepare and submit annual accounts for dormant companies
  • Prepare and submit annual accounts for CIC entities (5th IR, AI Industry Ecosystem, Philanthropy.International, BGRF)
  • Support audit, tax, and regulatory compliance processes in coordination with external advisors

8. Banking & Entity Account Management

  • Manage DKG Consortium bank accounts
  • Manage DKA Wise and Revolut accounts
  • Handle communication with BBK and other banking institutions
  • Support subscription management, budgeting, and optimization of financial accounts

9. Financial Reporting & External Coordination

  • Support monthly financial reporting (P&L, cash flow, balance summaries, expense reports)
  • Work closely with external accountants, auditors, tax advisors, and internal management
  • Maintain clear documentation of accounting processes and financial workflows
  • Provide operational financial insights to support decision-making

 

 

Nice to Have

  1. Experience with international companies, remote teams, consulting firms, analytics companies, SaaS, investment research, or professional services.
  2. Experience with VAT, payroll, contractor payments, or multi-currency transactions.
  3. Experience using Stripe, PayPal, Wise, Revolut Business, bank portals, CRM systems, or payment processors.
  4. Experience preparing monthly management reports.
  5. Knowledge of UAE, UK, US, or EU accounting/tax requirements.
  6. Experience documenting finance processes and improving bookkeeping workflows.

The ideal candidate is accurate, discreet, proactive, and process-driven. They can keep financial records clean, identify missing information, reconcile accounts, and provide management with a clear view of company finances.

They should be comfortable handling routine bookkeeping tasks while also improving financial organization and reporting structure.
