Softsich is an ambitious international product company developing scalable digital B2B platforms.


We are looking for an Office Operations Assistant who will help keep our office life balanced: organizing processes, communicating with vendors, and creating a comfortable environment for the team. If you enjoy when everything runs smoothly and without chaos β€” we’d love to get to know you.


Your key responsibilities will include:

–Organizing business trips for employees: searching and booking tickets, hotels, apartments, and transportation.
– Providing travel support for the PR team during conferences and external events.
– Supporting office events and team buildings together with the PR team β€” actively participating in organization, not just execution.
– Receiving merchandise prepared by the PR team, conducting quality control, packaging, and organizing shipments across Poland.
– Tracking delivery statuses and independently resolving logistics-related issues.
– Handling personal and business-related tasks for C-level managers.
– Ensuring the smooth and comfortable operation of the Warsaw office.
– Remotely coordinating operational processes for the Kyiv office.
– Managing the office budget and preparing expense reports.
– Initiating and implementing activities aimed at increasing team engagement in the office.

 

It’s a match if you have:

– 2+ years of experience in office management, executive assistance, or operations coordination.
– Experience organizing complex business travel and logistics.
– Hands-on experience with vendor management: sourcing, negotiations, and contract coordination.
– Polish language proficiency - B2+ level for communication with local vendors.
– Fluent Ukrainian.
– English β€” Intermediate+ (B1–B2).
– Strong Excel / Google Sheets skills (reporting, budgeting, basic analytics).
– Experience managing budgets and expense tracking.
– Strong organizational skills, independence, and the ability to manage multiple processes simultaneously.
