Position Overview

We are seeking a reliable and highly organised Remote Administrative Support Assistant to help support daily dealership operations through administrative coordination, data management, reporting, and backend operational support.

This role is focused entirely on administrative and operational assistance. 

The ideal candidate is detail-oriented, proactive, comfortable handling repetitive tasks, and able to maintain organisation in a fast-paced remote environment.

 

Key Responsibilities

Administrative Support

  • Handle routine administrative tasks. 
  • Complete accurate data entry. 
  • Keep internal information organised and up to date. 
  • Maintain records, notes, and task updates. 
  • Support daily dealership workflow. 
  • Help reduce routine manual workload from the dealership manager. 

Task example: “Please update the tracker with the current status of these 5 vehicles and mark which ones are ready, pending parts, or waiting for review.”

Backend Operations Support

  • Support operational coordination across the dealership. 
  • Help track ongoing tasks and updates. 
  • Assist with routine backend processes that do not require physical presence. 
  • Make sure important information is visible and easy to access. 
  • Help keep daily operations moving when the manager is busy or unavailable. 

Task example: “The manager is with a customer. Please check whether this vehicle has been updated in the system and reply in the team chat.”

Task example: “Please check which cars still need photos, details, parts, or pricing updates and send a short summary.”

Task example: “Find the correct replacement mirror for this vehicle, check availability, and send 2–3 options with price and delivery time.”

Internal Communication Support

  • Monitor internal team communication during working hours. 
  • Respond in the team chat when needed. 
  • Help answer basic operational questions. 
  • Flag important issues to management. 
  • Make sure simple questions or tasks do not remain unanswered. 

Task example: “Please check the chat and list all unresolved questions related to today’s vehicles.”

Simple Daily Updates

  • Prepare short operational updates when needed. 
  • Share basic information from internal systems with the team. 
  • Help management maintain visibility over daily activity. 
  • Keep reporting simple, clear, and consistent.

 

Requirements

  • Strong organisational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously.
  • Comfortable working independently in a remote environment.
  • Good written communication skills.
  • Experience with spreadsheets, CRM systems, and administrative tools preferred.
  • Strong time-management and task-prioritisation skills.

Working Hours

This role requires availability aligned with U.S. operational hours.

Schedule:

  • 8 am – 4 pm EST
