Senior Operations Manager (Execution, SOPs, Notion)

We are looking for a Senior Operations Specialist to work directly with the Head of Project and take full ownership of execution across our most important revenue-driving initiatives.

This is a hands-on, high-output role for someone who doesn’t just coordinate work—but owns outcomes end-to-end. You will diagnose problems, make decisions, and deliver results without relying on handoffs.

This is not a support or coordination role. It is a core operations position for someone who is fast, structured, and obsessed with execution quality. The two things we measure above everything else are speed and quality.

We are a fast-growing operation, and this role is critical to how quickly we scale. The right person will eliminate bottlenecks, bring clarity to execution, and ensure that high-priority work gets done—properly and on time.

 Requirements

• 4+ years in operations, project management, or a similar execution-focused role
• Notion expert — you build, structure, and maintain systems in it 
• Proven experience building and rolling out SOPs across teams 
• Strong ability to manage multiple high-priority projects without compromising quality
• Solid understanding of marketing and growth operations
• Excellent English (C1 or above), written and verbal
• Highly structured, detail-oriented, and fast — you don’t need repetition and don’t repeat mistakes

• Strong ownership mentality over processes and outcomes, not just tasks

   

Nice to Have

• Experience with automation tools (Make, Zapier, or similar)
• Background in media, newsletters, affiliate, or performance marketing
• Familiarity with tools like ClickUp, Google Sheets, or Airtable

Responsibilities

Project and Task Execution

• Take end-to-end ownership of projects — diagnose, decide, and deliver without handoffs
• Execute high-priority projects from brief to completion with full ownership of delivery
• Track all active projects, flag delays early, and proactively push work to completion
• Manage timelines, dependencies, and priorities across marketing, operations, and tech
• Maintain constant visibility: always know what’s happening, what’s stuck, and what’s next.

Operational Frameworks and SOPs

• Build and roll out SOPs so the team can execute consistently and independently
• Create scalable operational frameworks that reduce reliance on tribal knowledge
• Identify slow or broken processes and fix them with systems, not workarounds
• Go beyond identifying issues — diagnose and implement solutions
• Own Notion as the central operational hub: structured, accurate, and always up to date
• Maintain dashboards, trackers, and documentation that reflect reality at all times

Strategic Execution Support

• Turn priorities from the Head of Project into clear, actionable plans with owners and deadlines
• Coordinate across departments to ensure alignment and follow-through
• Support monetization, growth, and automation initiatives with structured execution
• Conduct research and deliver tight, actionable summaries for fast decision-making

Documentation and Knowledge Management

• Document every process and recurring task directly in Notion
• Write clear, concise instructions that anyone on the team can follow without guidance
• Build and maintain a knowledge base that scales with the team and reduces onboarding friction
