Conference Manager

We are looking for a Personal Assistant to support an Event Manager in operational and administrative tasks related to international conferences and exhibition projects.

This role requires close day-to-day collaboration, a fast response time, strong organizational skills, and the ability to manage multiple tasks simultaneously in a dynamic environment.

HOW YOU WILL MAKE AN IMPACT

  • Provide remote operational and administrative support for exhibition and event projects.
  • Maintain checklists, timelines, task trackers, and working spreadsheets; monitor deadlines.
  • Communicate online with contractors and suppliers; track responses and follow up on timelines.
  • Coordinate remote logistics: placing orders, tracking deliveries, and confirming receipt.
  • Prepare and distribute briefs, instructions, and updates for internal teams and partners.
  • Coordinate staff remotely (scheduling, confirmations, data collection).
  • Assist with merchandise, gifts, and branded materials (ordering, production control).
  • Collect and systematize post-event materials (photos, videos, documents).
  • Provide оперативна support for urgent and ad-hoc tasks.

WHAT WILL HELP YOU SUCCEED IN THE ROLE

  • Junior+ / Middle level (1–2 years of experience as an assistant or in a similar role).
  • Experience in logistics and administration is highly preferred.
  • Ability to work under deadlines and switch quickly between tasks.
  • Strong attention to detail and structured, system-oriented thinking.
  • Experience in assistant roles, events, production, or marketing is a strong plus.
  • Confident user of Google Docs, spreadsheets, and messengers.
  • English level: B2 or higher.
