Weβre looking for a Freight Accounting & Billing Coordinator to join our team and play a key role in managing accounts receivable (AR), accounts payable (AP), collections, shipment reconciliation, and financial reportingβall while working within our transportation management system (TMS) to ensure smooth financial operations.
Job Responsibilities
πΉ Accounts Receivable & Collections:
- Generate and send invoices to customers in a timely manner.
- Monitor outstanding balances and follow up on overdue accounts.
- Communicate with clients professionally to resolve payment issues and ensure timely collections.
πΉ Accounts Payable & Vendor Payments:
- Process and verify carrier and vendor invoices for accuracy.
- Reconcile discrepancies between invoices, rates, and shipments.
- Schedule and process payments to carriers and vendors per agreed terms.
πΉ Shipment Reconciliation & TMS Operations:
- Ensure all shipments are properly documented and financially accounted for.
- Work within our Transportation Management System (TMS) to match shipments, invoices, and payments.
- Investigate and resolve billing discrepancies with carriers, customers, and internal teams.
πΉ Financial Reporting & Compliance:
- Maintain accurate records of financial transactions related to freight operations.
- Assist in monthly financial reporting and account reconciliations.
- Ensure compliance with industry regulations and company policies.
πΉ Cross-Team Collaboration:
- Work closely with operations, sales, and customer service teams to streamline processes.
- Communicate with carriers and customers to resolve any billing or payment disputes.
- Assist in process improvements to enhance efficiency in freight accounting.
Qualifications & Skills

Accounting Experience: 2+ years in AR/AP, billing, or accounting roles (freight or logistics experience a plus).

Freight/Logistics Knowledge: Familiarity with transportation billing, freight invoices, and TMS platforms preferred.

Tech-Savvy: Comfortable using TMS, QuickBooks, Excel, and other financial tools.

Detail-Oriented: Strong ability to spot discrepancies and ensure accuracy in financial records.

Problem-Solver: Ability to troubleshoot and resolve billing/payment issues proactively.

Excellent Communicator: Strong written and verbal communication skills for working with clients, carriers, and internal teams.
