The company incorporates companies across multiple jurisdictions and provides full corporate support to clients' businesses - from incorporation and bank account opening to annual renewals and statutory reporting.

Important: this department does not do lead generation or primary sales. Clients come in with a signed contract from the sales team - your job is to deliver the project end to end and then keep the client running smoothly.
 

What you will do

• Incorporate companies in various jurisdictions
• Support the opening of corporate bank accounts and payment solutions
• Liaise with foreign registrars, government authorities (business registries, financial regulators), banks and partners
• Work with foreign agents, notaries and lawyers
• Prepare and review corporate documents
• Communicate with clients at every stage of the project: online meetings, calls, chats, email and in-person meetings when needed
• Track deadlines and ensure compliance with each jurisdiction's requirements
• Manage the existing client portfolio: monitor renewal deadlines, propose the services clients need (registration and registered address renewals, licences, nominee services, accounting support, mandatory reporting), and arrange delivery

• English from B1, ideally B2 - all communication with agents, banks and regulators is in English

About the Role

We are looking for the right-hand person of the Operations Manager. You will be responsible for the "operations" side of things: from monitoring deadlines and working with Jira, to registrations in partner networks and organizing business trips. This is a role for someone who takes pleasure in systematic work, sees tasks through to completion, and is not afraid of routine yet important duties. You will become the link between teams and ensure the smooth operation of all internal processes.
 

Key Responsibilities:

• Discipline Control: Monitoring vacations, sick leaves, reminding teams to comply with regulations.
• Task Management (Jira): Monitoring deadlines and statuses, checking task quality, assisting the team, and maintaining order on boards. You are the guardian of the tracker's cleanliness.
• Access and Database: Maintaining an up-to-date database of logins/passwords, granting access to employees, and managing subscriptions.
• External Registrations: Filling out applications in ad networks and partner programs, completing verifications.
• Communication: Primary correspondence with partners and services (verifications, compensations, standard queries), monitoring emails.
• Vendor Search: Finding subcontractors (designers, developers), collecting commercial proposals, and preparing recommendations.
• Research and Analytics: Gathering information on demand, structuring data in spreadsheets, and preparing brief summaries.
• Logistics: Organizing business trips and trips to conferences (tickets, hotels).
• Systematization: Bringing order to spreadsheets, Miro boards, and internal documents.
• Backup: Replacing the Operations Manager in their absence on key financial and operational tasks.

• Proficient in Writing: A large part of the work involves correspondence in English (level B1 or higher).

• Skilled with Tools: Proficient user of Google Sheets/Excel, experience with any task tracker (Jira is ideal, Asana/Trello/YouGile is good).
• Careful with Data: We work with confidential information.
• Uses Neural Networks: Regularly uses ChatGPT and similar tools to speed up work.
   

Will be a plus:

• Experience in Affiliate / AdTech / Digital marketing (knowledge of advertising dashboards).
• Understanding of financial processes or an economic education.
• Analytical mindset (you enjoy verifying data and finding discrepancies).
• Experience as an assistant to a manager or an operations specialist (including specialized courses).

• Remote.
• Schedule: 11:00 AM – 7:00 PM (UTC+3).
• Probation period: 3 months, with a phased expansion of responsibilities (access and tasks are granted gradually).
