Executive Assistant

Location: Remote, PST Time Zone (6 AM - 2 PM PST)

Overview

We are seeking a highly reliable, sharp, and execution-focused Executive Assistant to support senior leadership in a high-intensity startup environment. This role requires exceptional ownership, speed, discretion, and the ability to operate under pressure with minimal guidance.

The Executive Assistant is a trusted extension of the executive and must be comfortable with outside-of-hours availability and 24/7 responsiveness when required.

Key Responsibilities

Executive & Strategic Support

• Manage complex calendars, scheduling, and shifting priorities
• Act as a gatekeeper for communications and time-critical requests
• Prepare briefings, documents, reports, and executive summaries
• Track action items, deadlines, and strategic initiatives

Communication & Coordination

• Handle email and message triage with urgency and judgment
• Draft and send professional correspondence on behalf of the executive
• Coordinate with internal teams, partners, and external stakeholders
• Ensure fast, clear, and reliable communication flow

Availability & Responsiveness

• Maintain outside-of-hours availability as required
• Provide 24/7 responsiveness for urgent matters
• Adapt to time-sensitive requests across time zones

Operations & Execution

• Coordinate domestic and international travel and logistics
• Support special projects and ad-hoc requests with speed and accuracy
• Maintain strict confidentiality and operational discipline
• Proactively identify problems and resolve them before escalation

Skills & Tools

• Strong AI literacy: ability to use AI tools for research, drafting, summarization, and task acceleration
• Experience with productivity and collaboration tools such as Notion, Trello, Miro, Figma, Google Workspace, Slack
• Task and project tracking in fast-moving environments
• Advanced calendar and inbox management
• Strong written communication and documentation skills

Requirements

• 3+ years of experience as an Executive Assistant or similar role
• Proven experience in startup or fast-paced environments
• Excellent English (written and verbal)
• High level of discretion, judgment, and reliability
• Ability to work independently and under pressure
• Comfortable with irregular hours and high availability expectations

Preferred Qualifications

• Experience supporting founders or C-level executives
• Remote, global, or multi-time-zone work experience
• Strong prioritization and problem-solving skills

Responsibilities:

· Work with the CRM system: handle initial lead communication, input information, and update lead statuses.

· Quality leads and transfer qualified leads to sales managers.

· Conduct initial client qualification based on established criteria.

· Ensure timely responses and perform follow-ups.

· Ensure timely processing of inquiries.

Requirements:

· Excellent written and spoken communication skills in English. A second language is beneficial (Spanish/Russian/Chinese/Arabic).

· Ability to manage multiple lead inquiries simultaneously.

· Solid knowledge of CRM systems.

· Patience and an eye for detail.

· Previous experience in customer support or a call center is a plus.

· Ability to work in the Eastern Time (ET) zone, 6-8 hours per day.
