Role Overview

We are looking for a highly organized, execution-driven Project Coordinator to support cross-company operations and ensure that internal teams stay aligned, accountable, and on schedule. This role sits at the center of multiple projects across different companies and works in close, daily communication with C-level executives.

The Project Coordinator is responsible for translating strategic direction into clear tasks, tracking execution across teams, and delivering accurate, real-time reporting on progress, risks, and outcomes.

Key Responsibilities

Project & Process Coordination

• Coordinate multiple projects across internal teams and companies
• Break down executive directives into clear tasks, timelines, and ownership
• Ensure processes are followed consistently across teams
• Track dependencies, blockers, and deadlines across ongoing initiatives

Team Management & Communication

• Act as the central point of coordination between internal teams
• Follow up on deliverables and ensure accountability
• Maintain clear, structured communication between teams and leadership
• Escalate issues, risks, or delays early and proactively

Reporting & Documentation

• Provide accurate, timely reporting on project status, timelines, and performance
• Maintain dashboards, trackers, and documentation for all active processes
• Prepare concise summaries and updates for C-level executives
• Ensure data integrity and consistency across reports

Executive Support

• Work closely with C-level executives on priorities, planning, and execution
• Support decision-making with structured data and clear insights
• Assist in aligning teams with shifting priorities and time-sensitive initiatives

Requirements

• Strong organizational and coordination skills
• Experience managing multiple projects or workstreams simultaneously
• Exceptional attention to detail and accuracy in reporting
• Clear, professional communication skills (written and verbal)
• Ability to work directly with senior leadership and handle sensitive information
• High level of ownership, reliability, and follow-through
• Comfortable working in a fast-paced, changing environment

Nice to Have

• Experience in startups or multi-company environments
• Familiarity with project management tools (Jira, Notion, Asana, ClickUp, etc.)
• Experience working with remote or distributed teams
• Analytical mindset with the ability to turn raw data into actionable insights

We are looking for a Project Manager with 3+ years of commercial experience to join a long-term enterprise-level project for a well-known international client. 

The project is a complex digital product with multiple stakeholders, cross-functional teams, and a strong focus on scalable delivery and high-quality execution.

Requirements

Must have

• 3+ years in PM roles within dynamic environments, with a proven history of meeting business objectives.
• Experience managing enterprise-level clients and overseeing multiple concurrent small-scale projects.
• Expert proficiency in Agile, Scrum, and Kanban.
• Strong ability to hit tight deadlines without compromising quality.
• Skilled at aligning team output with client expectations and navigating stakeholder needs.
• Exceptional verbal/written skills and the ability to lead cross-functional teams effectively.
• A quick learner who adapts seamlessly to new tools and evolving processes.
• High-level multitasking and organisational discipline.
• Upper-Intermediate or Advanced English level

Nice to have

• Experience managing Salesforce-related projects

Responsibilities

• Lead the estimation process, define resource requirements, and build comprehensive project timelines.
• Ensure projects remain within scope, budget, and deadlines while maintaining high quality.
• Monitor team effort and billable hours to optimize resource use and provide stakeholder updates.
• Proactively identify project bottlenecks and implement recovery strategies to keep timelines on track.
• Manage team utilization and workloads to balance productivity with burnout prevention.

• Manage invoicing workflows and facilitate the team salary review process.

Client: a world-renowned luxury hospitality brand that operates over 130 hotels and resorts across nearly 50 countries.

You will be working on a large enterprise Salesforce ecosystem with a distributed international team. The project involves enterprise-level system development, scaling, and continuous improvement, providing an opportunity to collaborate with a mature client organization and oversee a big delivery team (Developers, QAs, BAs, Salesforce Admins).

Stage

Ongoing product ecosystem with continuous scaling and active development. Modern tech stack, no legacy.

Project team

On our side: 33 people: Solution Architect – 1, Tech Leads – 2, Salesforce Developers – 9, QA Lead – 1, QAs – 8, Admin Lead – 1, Admin – 1, SFMC Specialists – 3, BA Lead – 1, BAs – 4, PMs – 2.

Client side: management team and several support experts.

Work Schedule

You can work completely remotely, or from the office in Kyiv or Lviv, or choose a hybrid format.
