Operations Manager
Location: Remote
Employment: Full-time
Reports to: Founder
Schedule: Flexible, aligned with Hong Kong time
Who We Are
We are an international holding company with businesses and investments across financial services, capital markets, asset management, and fintech.
Our operations span multiple jurisdictions, with an international network of partners and business activities across Europe, Asia, and the Middle East.
We are looking for a highly organized and proactive Operations Manager to join the Founder's Office and work directly with one of our founders, managing his schedule, international travel, financial administration, and day-to-day operations across business and private matters.
This is not a traditional administrative role. We need someone who can bring structure to a fast-moving environment, anticipate needs, manage multiple priorities, and take full ownership of tasks without constant supervision.
What You Will Do
Founder's Office Operations
- Coordinate the founder's calendar, meetings, and commitments across different time zones.
- Prioritize incoming requests, plan the daily agenda, and proactively resolve scheduling conflicts.
- Manage correspondence on behalf of the founder and prepare clear, professional communication.
- Coordinate private and family-related arrangements, reservations, and appointments.
- Act as the founder's central point of contact for operational and administrative matters.
Finance & Payments Operations
- Maintain structured records of expenses, payments, and financial transactions.
- Build and maintain Excel models and trackers for budgets, balances, and financial commitments.
- Execute routine banking operations, card top-ups, payments, and transfers through authorized channels.
- Monitor payment deadlines, subscriptions, and recurring financial obligations.
- Organize financial and legal documents, maintain accurate records, and coordinate document signing and processing.
International Travel & Logistics
- Plan and manage end-to-end international travel, including flights, hotels, transfers, car rentals, and complex multi-city itineraries.
- Coordinate travel logistics for the founder and his family.
- Manage visa applications, travel documentation, and related administrative procedures.
- Monitor and optimize airline miles, hotel loyalty programs, reward points, and travel benefits.
- Handle last-minute changes, cancellations, and urgent travel requests.
- Be available to travel with the founder internationally when required.
Coordination & Problem-Solving
- Own multiple parallel workstreams and ensure timely execution.
- Bring structure to changing priorities, incomplete information, and unexpected situations.
- Manage relationships with banks, payment providers, hotels, airlines, and other external partners.
- Follow up proactively on open items and ensure nothing is overlooked.
- Anticipate potential issues and find practical solutions before they become problems.
