Notion Systems/Operations Manager

Gravira Group — a fast-growing international iGaming company — is looking for a highly structured and proactive Notion Systems & Operations Manager to join our Product Department and take operational ownership of the company’s Notion workspace, business processes, and cross-functional systems.

You will report directly to the Head of Product, who will define the overall direction, priorities, and expected outcomes. Your role will be to understand these requirements, collect additional input from relevant departments, and translate them into clear, scalable, and user-friendly solutions.
This role is for someone who genuinely loves Notion, enjoys turning complex business processes into structured systems, and can deliver accurate solutions with minimal rework.

Key responsibilities

  • Own the administration, structure, maintenance, and continuous improvement of the company’s Notion workspace.
  • Design scalable databases and operational systems from scratch using relations, rollups, formulas, templates, views, permissions, and advanced database logic.
  • Translate the company’s operational strategy and Head of Product requirements into practical Notion systems, workflows, and automations.
  • Collect and analyze requirements from Product, CRM, HR, Marketing, Operations, and other departments.
  • Build and maintain interconnected systems for Product Development, Project Operations, CRM, HR, company documentation, and other business functions.
  • Map, document, and improve business processes, including responsibilities, statuses, dependencies, approvals, handovers, and escalation flows.
  • Create integrations, notifications, and automated workflows between Notion, Slack, CircleBack, ChatGPT, AI agents, meeting tools, and other company services.
  • Validate proposed solutions with the Head of Product and relevant users before implementation, ensuring they are practical and convenient for the teams involved.
  • Maintain workspace quality and consistency: naming conventions, database properties, views, permissions, ownership, dependencies, instructions, and information accuracy.
  • Create clear process documentation, workspace instructions, field descriptions, and user guidance.
  • Audit existing processes, identify bottlenecks or duplicated work, and proactively propose improvements for approval.
  • Support workspace adoption, train team members, collect feedback, and refine implemented systems based on real usage.
  • Take ownership of additional Product and Operations tasks that require coordination, structure, or process development.

 

Requirements

  • Advanced hands-on expertise with Notion and previous experience managing a complex company workspace.
  • Ability to build databases, dashboards, templates, and interconnected operational systems from scratch.
  • Strong knowledge of Notion relations, rollups, formulas, filters, views, permissions, and native automations.
  • Experience in Operations, Business Process Management, Project Management, Product Operations, Product Management, or Business Systems.
  • Strong understanding of business logic, process architecture, CRM structures, documentation, and cross-functional workflows.
  • Experience integrating Notion with external services through native connections, APIs, AI-powered tools, webhooks, or other suitable solutions.
  • Ability to collect requirements from different stakeholders, clarify expectations, and convert them into practical systems.
  • Ability to understand the task correctly, identify missing requirements in advance, and deliver solutions with minimal rework.
  • Strong structural and analytical thinking with exceptional attention to detail.
  • A preference for clean, consistent, intuitive, and well-documented systems.
  • Proactive mindset: you identify opportunities and propose improvements while working within the agreed company direction.
  • Strong communication skills and the ability to explain complex systems in a simple way.
  • English — Upper-Intermediate (B2) or higher.

 

Would be a plus

  • A portfolio of Notion workspaces, databases, dashboards, or operational systems you have designed.
  • Notion certification or professional experience as a Notion consultant or workspace architect.
  • Experience with AI tools, AI agents, meeting-intelligence platforms, and automated knowledge-management workflows.
  • Experience with APIs, webhooks, low-code solutions, or basic scripting for custom integrations.
  • Experience documenting and optimizing end-to-end business processes.
  • Experience with CRM, HR, Product Development, or company-wide knowledge-management systems.
  • Experience working in startups, iGaming, or other fast-moving international environments.
