Senior Project Manager / Delivery Manager

We're looking for a Senior Project Manager / Delivery Manager who will become a key operational leader responsible for managing complex production initiatives, building scalable delivery processes, and ensuring successful collaboration between our clients and internal production teams.

Blue Carrot is a full-service agency established in 2014, specializing in educational content creation and commercial video production. Since the very beginning, we’ve set ourselves in the global marketplace by creating content for esteemed clients like the United Nations, DNB, Takeda, University of Southern California, Charité Medical University, and others. With a diverse portfolio spanning over 300 clients globally, we handle projects of all sizes, from short 60-second explainers to extensive educational courses consisting of over 200 e-learning hours across four languages.

Requirements:

• 4+ years of experience managing complex digital production or software projects.
• Proven experience leading cross-functional teams.
• Experience building operational processes and workflows from scratch.
• Strong understanding of project planning methodologies and delivery management.
• Experience with project estimation, budgeting, and financial tracking.
• Excellent stakeholder management and communication skills.
• Strong organizational and prioritization abilities.
• Experience managing multiple concurrent projects.
• Analytical mindset with excellent problem-solving skills.
• Upper-Intermediate (B2+) English or higher.
• High level of ownership, accountability, and attention to detail.

It will be a strong advantage if you have:

• Experience in e-learning production.
• Experience working with international clients.
• Experience in creative agencies, digital production, SaaS, or software development.
• Familiarity with AI-powered production workflows and automation.

Responsibilities:

1. Project Leadership

• Lead multiple e-learning production projects simultaneously from initiation through delivery.
• Define project scope, objectives, timelines, priorities, and success criteria.
• Build implementation plans and ensure smooth execution across multidisciplinary teams.
• Monitor project health, identify delivery risks, and proactively resolve issues before they impact timelines or quality.
• Ensure projects are delivered on time, within budget, and according to quality expectations.

2. Process & Production Development

• Design and improve scalable production workflows.
• Build project architecture, delivery frameworks, and operational standards.
• Develop documentation, SOPs, production guidelines, and quality requirements.
• Identify bottlenecks and continuously improve production efficiency.
• Introduce new approaches that simplify collaboration and increase delivery capacity.

3. Client & Account Management

• Act as the primary operational contact for assigned clients.
• Lead discovery sessions, project planning meetings, and production briefings.
• Translate business goals into actionable production plans.
• Build long-term client relationships through transparent communication and reliable delivery.
• Ensure high levels of client satisfaction throughout the project lifecycle.

4. Financial & Resource Management

• Prepare project estimations, budgets, and delivery schedules.
• Perform capacity planning across production teams.
• Track project budgets and delivery costs.
• Prepare monthly financial reports and analyze project profitability.
• Optimize resource allocation while maintaining production quality.

5. Team Leadership

• Coordinate cross-functional teams including Project Managers, Instructional Designers, Learning Experience Designers, Developers, QA specialists, Video Producers, and external contractors.
• Support recruitment activities by participating in interviews and candidate evaluations.
• Facilitate onboarding for new team members.
• Provide ongoing feedback, mentorship, and performance evaluations.
• Foster a collaborative, accountable, and solution-oriented team culture.

6. Quality Management

• Establish quality standards across production processes.
• Monitor project deliverables throughout every production stage.
• Implement quality control procedures and continuous improvement initiatives.
• Analyze feedback and lessons learned to improve future delivery.

7. Communication & Reporting

• Maintain regular communication with internal teams and external stakeholders.
• Prepare weekly project status updates.
• Facilitate planning meetings, sprint reviews, retrospectives, and client calls.
• Ensure complete visibility of project progress, risks, priorities, and dependencies.
