People Operations Specialist
About LoopMe
LoopMe is an AI company solving one of advertising's hardest problems: making brand advertising actually measurable โ and making it perform. Our platform runs patented machine learning models across billions of consumer signals in real time, optimising campaigns toward outcomes like purchase intent, brand lift, and foot traffic rather than proxy metrics like clicks. The result is 2โ5x better performance than industry benchmarks, at scale.
We operate a high-load programmatic infrastructure โ processing millions of ad requests per second with sub-200ms response times globally. This isn't a layer on top of someone else's stack; it's built from the ground up, in-house, by the team you'd be joining. Founded in 2012 and headquartered in London, we now have 400+ people across 19 cities and have sustained 40% revenue CAGR since 2018. The engineering problems here are real, the ownership is genuine, and the scale is significant.
The opportunity
We're looking for a People Operations Manager to lead and continuously improve our global People Operations function.
Reporting directly to the Chief People Officer, you'll own our HR Operations infrastructure, ensuring our employee lifecycle, HR systems, and operational processes remain scalable, compliant and employee-focused as the company continues to grow.
This is an opportunity to shape how People Operations scales across a global, fast-growing technology business. You'll have the autonomy to optimise systems, introduce automation, improve employee experience and build operational excellence while partnering closely with People Partners, Finance, IT and senior business leaders worldwide.
What you'll do
HRIS ownership & automation
- Own HiBob as our global HRIS, ensuring it remains the single source of truth for employee data.
- Design, build and continuously improve workflows, approval chains and automations within HiBob.
- Manage integrations between HiBob and business systems, including payroll, Slack, Google Workspace and Finance platforms.
- Maintain organisational structures, reporting lines, cost centres and employee records.
- Manage HRIS permissions and access governance, ensuring compliance with GDPR and internal security standards.
- Continuously identify opportunities to automate manual People Operations processes and improve operational efficiency.
Data integrity & reporting
- Review and validate employee data changes submitted by HRBPs and managers before implementation.
- Conduct regular HR data audits and quality reviews to maintain data accuracy across all regions.
- Own organisational charts, headcount reporting and People data that supports Finance and workforce planning.
- Build and maintain dashboards covering headcount, onboarding, employee support, time-to-productivity and operational performance.
- Produce regular People Operations reports that enable data-driven decision making.
Employee support
- Own the People Operations service desk and employee ticketing process.
- Ensure employee requests are resolved within agreed service levels and escalated appropriately when required.
- Analyse employee support trends to identify recurring issues and improve underlying People Operations processes.
- Partner with People Partners and business leaders to deliver a consistent, high-quality employee experience globally.
Team leadership
- Lead, coach and develop the People Operations team, fostering a culture of collaboration, accountability and continuous improvement.
- Manage workload distribution and service coverage across multiple time zones.
- Support the professional development and performance of direct reports.
Employee lifecycle
- Oversee end-to-end onboarding, internal mobility and offboarding processes across multiple countries.
- Ensure employee records are maintained accurately within HRIS throughout the employee lifecycle.
- Oversee employee documentation, buddy programme coordination and onboarding surveys.
- Oversee offboarding activities, including leaver documentation, annual leave calculations, system access removal and exit surveys.
Compliance & governance
- Oversee employment documentation, contract generation and localisation across multiple jurisdictions.
- Support statutory reporting requirements, including gender pay gap reporting and regional compliance obligations.
- Maintain high standards of HR governance, documentation and audit readiness.
Process improvement & projects
- Lead the implementation of new HR systems, process improvements and automation initiatives.
- Develop and maintain People Operations documentation, knowledge base articles and standard operating procedures.
- Partner with Finance, Payroll, Legal and IT on cross-functional People Operations initiatives.
- Drive continuous improvement across People Operations through data, technology and automation.
What you'll bring
- 4+ years of experience in People Operations, HR Operations or HRIS management.
- Previous experience managing or mentoring People Operations or HR Administration team members.
- Hands-on experience owning or configuring an HRIS platform, preferably HiBob.
- Experience building HR workflows, automations and employee lifecycle processes.
- Strong understanding of HR Operations within an international, multi-country environment.
- Advanced Excel or Google Sheets skills, including reporting and dashboard creation; exposure to SQL is a plus.
- Strong written and verbal English communication skills.
- Excellent organisational skills with the ability to manage multiple priorities across different time zones.
- Strong analytical mindset with a genuine curiosity for identifying process improvements rather than simply resolving issues.
- Experience handling confidential employee information with discretion, particularly within GDPR-regulated environments.
Nice to have
- Experience working in a fast-paced technology or high-growth company.
- Experience with employee ticketing or case management systems.
- Experience supporting statutory HR reporting across multiple jurisdictions.
