Job Description: Team Coordinator/Multilingual Interpreter Scheduled & Last-Minute Track | On-Demand Track Position Title Team Coordinator/Multilingual Interpreter Department Operations Reports To Operations Manager (with dotted-line accountability to the CEO) Employment Type Full-Time Work Schedule Monday - Friday, core business hours, with rotating coverage for urgent/last-minute requests as needed Work Location Fully Remote Introductory Period 90 days from date of hire, with an additional 90-day probationary extension as needed (total probationary period of 6 months)
Compensation Position Summary $400 per month (approximately $2.50/hour based on a 40-hour week, Monday - Friday) The Team Coordinator is a core operational role at the Company, responsible for coordinating interpreter assignments, supporting client and interpreter communication, and maintaining the accuracy and integrity of scheduling systems.
This position is organized around two coordination tracks: Scheduled & Last-Minute assignments and On-Demand requests. The Team Coordinator ensures that every assignment is filled, documented, and completed to the Company's standards, and serves as a key point of contact between interpreters, clients, and internal leadership. Essential Responsibilities Assignment Coordination (Scheduled & Last-Minute Track) • Receive, review, and process scheduled interpreting requests through Boostlingo and related platforms, following mandatory approval procedures before creating or canceling assignments. • Match qualified interpreters to assignments based on language, certification tier (MWANZO, SANAA, UJUZI, UONGOZI), specialty, and client requirements. • Manage last-minute and urgent coverage requests, escalating unresolved gaps according to the REACT Protocol. • Confirm interpreter availability, send assignment confirmations, and follow up on outstanding responses. • Apply the 72-hour cancellation policy and document all cancellations and rescheduling accurately. On-Demand Coordination • Monitor and respond to on-demand interpreting requests in real time, prioritizing rapid turnaround for emergency and urgent coverage. • Maintain up-to-date interpreter availability records to support fast matching for on-demand needs. • Track fill rates and follow-up requirements for on-demand assignments and flag recurring coverage gaps. Documentation & Systems • Maintain accurate records in Trello following the Company's naming conventions and note requirements. • Update CSDA records and scheduling trackers for each assignment, including per-language tracking during highvolume periods such as Regents exam season.
Language Service Company — New York • Ensure all interpreter conduct standards are met, including first-person interpretation, camera requirements, and the 15-30 minute early connection policy. Communication & Client Support • Respond to client and interpreter inquiries within the Company's communication standards, escalating unresolved issues promptly. • Support onboarding communication for new interpreters, referral outreach, and recruitment for hard-to-fill and rare languages. • Provide clear, professional written and verbal communication that reflects the Company's Ubuntu-centered service culture. Interpreting Duties • Personally interpret and cover a minimum of 10 assignments per month across the languages in which the incumbent is qualified. • In lieu of the monthly interpreting minimum, take on additional administrative or interpreter onboarding work as assigned by the Operations Manager.
Qualifications Language Service Company — New York
• Associate's degree or equivalent professional experience; Bachelor's degree preferred. • 1+ years of experience in scheduling, dispatch, staffing coordination, or a related operations role. • Strong organizational skills with the ability to manage multiple concurrent requests under time pressure. • Proficiency with scheduling and project management tools (Boostlingo, Trello, Google Workspace, or similar); experience with language services platforms is a plus. • English proficiency at C2 level, verified through the EF SET English test: https://www.efset.org/ • Fluency in 3 additional languages (written and oral), beyond English. • Demonstrated reliability, discretion, and sound judgment when handling confidential client and interpreter information. Remote Work Requirements As a fully remote position, the Team Coordinator must maintain a home office setup that meets the following standards: • A dedicated computer (desktop or laptop) in good working condition. • At least 1-2 external monitors to support multi-system scheduling work. • A noise-cancelling headset for clear, professional communication on calls. • A quiet, professional environment free from background noise and distraction during working hours. • Stable, reliable high-speed internet connectivity. Communication & Escalation Standards Request Type Response Target Emergency requests 15 minutes Urgent interpreter coverage 15 minutes Routine operational matters 2 hours Administrative requests 48 hours Unresolved issues are escalated immediately to the Operations Manager or CEO in accordance with the REACT Protocol. Performance Expectations • Maintain a high assignment fill rate across both coordination tracks. • Meet or exceed response-time targets for emergency, urgent, and routine requests. • Keep Trello, Boostlingo, and tracking spreadsheets accurate and current on a daily basis. • Support recruitment and referral efforts for rare and hard-to-fill languages. • Participate in biweekly P.U.L.S.E. meetings and contribute to quarterly A.L.I.G.N. leadership reporting as requested. Time Off During the 6-month probationary period, employees receive 5 paid days off. These days are not tied to the standard US holiday calendar; employees may choose when to take them based on their personal needs and cultural or religious observances, subject to advance notice and supervisor approval.
