Position Summary
A U.S.-based language services company is seeking a Business & Finance Coordinator to support both the Operations and Accounting departments. This position is responsible for assisting with invoicing, client follow-up, interpreter and translator onboarding, work authorization verification, payroll system connection, and global recruitment based on active language needs and demand tracking. The ideal candidate will be organized, multilingual, detail-oriented, and comfortable working across international teams
Key Responsibilities
Finance & Accounting Support
- Assist the Accounting Manager with invoicing and payment follow-up.
- Help track client payments and outstanding balances.
- Support QuickBooks or financial record updates.
- Maintain organized billing and payment documentation.
Client Relationship & Business Follow-Up
- Follow up with current clients by email and phone.
- Schedule and manage client follow-up appointments.
- Maintain strong communication with existing clients.
- Identify client needs and report updates to management.
Interpreter & Translator Onboarding
- Search for and onboard interpreters and translators globally.
- Recruit language professionals based on active language demand tracking.
- Collect resumes, credentials, certifications, and work experience documentation.
- Schedule onboarding video calls and assist with work authorization verification.
- Ensure timely completion of required onboarding documents.
- Connect approved interpreters and translators to the payroll system.
- Maintain accurate interpreter and translator profiles.
Operations Support
- Serve as a liaison between the Operations and Accounting departments.
- Support interpreter scheduling and assignment coordination.
- Track active language demand and recruitment priorities.
- Maintain internal records, reports, and daily administrative tasks.
Qualifications
Required
- English proficiency at C2 level (native or near-native), written and spoken.
- Fluency in two to three languages, including English.
- Strong email communication and follow-up skills.
- Experience in administration, operations, finance, recruiting, or client support.
- Ability to work with international candidates and remote teams.
- Comfortable with video calls, spreadsheets, payroll systems, and CRM tools.
- Strong attention to detail.
Preferred
- Experience with QuickBooks or accounting support.
- Experience onboarding contractors, interpreters, translators, or remote workers.
- Background in interpreting, translation, healthcare, legal, or language services.
- Knowledge of payroll systems and document verification.
Schedule, Compensation & Terms
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Starting Rate: $6.00/hour | $48.00/day |
(New York Time)
Hours: 8 hours/day (1-hour unpaid lunch) | 40 hours/week
Payroll: Once per month, paid on the 15th of the following month
Paid Time Off (PTO)
- 10 paid days off total per year.
$240.00/week | $960.00/month
Probation: 6-month probation period
Contract: 1-year contract offered upon successful completion, contingent on performance, conduct, attendance, and organizational needs
- This position does not follow U.S. public holidays. PTO days may be taken according to the worker’s preferred holidays and cultural observances.
- Any additional time off beyond the 10 paid days requires a minimum of 2 weeks’ advance notice and may be taken as unpaid leave for up to 1 month.
This is a remote, internationally-based position. Compensation is structured for candidates located outside the United States.
