About the Role
MTicket is looking for a Senior AI Workflow Automation Business Analyst to help transform the way event operations are planned, managed, and optimized through intelligent automation and AI agents.In the event industry, every stage of the lifecycle is time-sensitive and operationally complex — from venue sourcing, attendee registration, vendor coordination, and lead retrieval to real-time on-site operations, crowd management, and post-event ROI reporting.
In this role, you will identify manual friction points across the event planning and execution lifecycle and replace them with scalable, intelligent, AI-powered workflows. You will bridge the gap between traditional event coordination, business operations, product teams, engineering, data, and cutting-edge AI automation.
This is a high-impact role for a Senior BA who can lead discovery, structure complex business processes, design automation logic, and support the implementation of production-ready AI workflows.
What You Will Do
- Map end-to-end event lifecycles across pre-event, on-site, and post-event stages to identify bottlenecks, manual work, and automation opportunities.
- Analyze processes related to venue sourcing, attendee registration, vendor coordination, lead retrieval, customer support, event operations, and reporting.
- Design AI-driven workflows and orchestration logic for multi-step business processes.
- Define requirements for AI agents that can support tasks such as personalized invitation drafting, attendee inquiry handling, operational alerts, and post-event reporting.
- Design Human-in-the-Loop workflows for cases where AI requires validation, escalation, or manual approval.
- Work with product, engineering, operations, and data teams to translate business needs into clear functional and technical requirements.
- Create user stories, acceptance criteria, process flows, BPMN/UML diagrams, business rules, BRD/FRD documentation, and solution specifications.
- Define requirements for AI-driven personalization, attendee matchmaking, networking suggestions, and personalized agenda recommendations.
- Collaborate with data teams on predictive logistics use cases, including attendance forecasting, catering demand, staffing optimization, and operational planning.
- Support automation of data aggregation from registration platforms, event apps, CRM systems, surveys, lead retrieval tools, and reporting platforms.
- Help structure event data — including vendor information, attendee profiles, demographics, behavioral data, and lead metrics — for AI readiness.
- Define reporting and analytics requirements for stakeholders, sponsors, and internal teams.
- Ensure automation and AI workflows are scalable, compliant, ethical, and aligned with business goals.
- Support delivery teams throughout implementation, testing, validation, and production rollout.
What We’re Looking For
- 5+ years of experience as a Business Analyst, Senior Business Analyst, Technical Business Analyst, Business Systems Analyst, Product Business Analyst, or similar role.
- Strong experience leading discovery, requirements gathering, stakeholder interviews, process analysis, and business documentation.
- Proven ability to map complex business processes and translate them into structured requirements, user stories, acceptance criteria, and solution specifications.
- Hands-on experience with workflow automation, business process automation, orchestration, integrations, or API-heavy projects.
- Real experience with AI, LLMs, chatbots, AI agents, GenAI, or AI-driven workflows implemented in production.
- Strong understanding of how AI agents, automation flows, business systems, APIs, and data interact.
- Experience with event-tech, ticketing, e-commerce, marketplaces, transactional platforms, SaaS, CRM, or high-volume digital products.
- Understanding of event lifecycle processes such as registration, attendee communication, vendor coordination, lead retrieval, on-site operations, and post-event reporting.
- Ability to work with ambiguity, challenge assumptions, identify risks, and propose practical solutions.
- Strong analytical thinking, system-level understanding, and excellent communication skills with both business and technical stakeholders.
- Ukrainian or Russian language proficiency at C1 level or higher is required for effective communication with internal stakeholders.
Industry-Specific Experience
- Experience with event management platforms such as Cvent, Whova, Eventbrite, Bizzabo, Swapcard, RainFocus, EventMobi, ON24, Hubilo, or similar.
- Understanding of AI integration opportunities within event platforms, registration tools, CRM systems, event apps, and analytics/reporting solutions.
- Experience with no-code/low-code automation tools such as Make.com, Zapier, n8n, Power Automate, Airtable, Retool, or similar.
- Ability to connect fragmented event software into structured automated workflows.
- Understanding of data privacy, GDPR, attendee tracking, consent management, and responsible AI usage.
- Awareness of ethical considerations related to attendee behavior tracking, personalization, crowd monitoring, and facial recognition technologies.
Nice to Have
- Experience in venue sales automation, including AI-powered dynamic pricing, automated proposal generation, or venue recommendation workflows.
- Experience defining requirements for personalized attendee experiences, AI matchmaking, networking recommendations, or agenda personalization.
- Familiarity with generative AI use cases for rapid content creation, including speaker bios, marketing copy, event announcements, invitation emails, and social media updates.
- Experience with predictive models or analytics for attendance forecasting, catering demand, staffing, operational planning, or event ROI.
- Background in Agile project management within a fast-paced agency, hospitality, entertainment, event-tech, or SaaS environment.
- Experience with dashboards, BI tools, sponsor reporting, customer journey analytics, or post-event ROI reporting.
