We’re looking for an IT Business Analyst / Project Manager who is first and foremost a strong Business Analyst — someone who can take an idea from the Product Owner, gather and clarify requirements, and turn it into comprehensive, structured, build-ready documentation for the development team.

This role has a strong focus on comprehensive documentation. A key responsibility will be to write clear, detailed, and practical documentation based on product ideas, business needs, stakeholder input, and technical discussions — then break this documentation down into actionable tasks, plan delivery with the team, and support implementation through the full development cycle.

This is not a “meeting-only” BA role. We need someone who can drive outcomes, bring structure to ambiguity, work closely with Product Owners and engineering teams, and make sure requirements are clear enough to build, test, release, and improve. Project management is also an important part of the role: you will help keep delivery organized, facilitate Agile/Scrum processes, manage priorities and dependencies, and support the team in shipping with speed and confidence.

The ideal person has a strong background in business and technical analysis, comprehensive documentation writing, requirements gathering, stakeholder management, task creation, team planning, and conducting Scrum ceremonies.

What you’ll do

  • Take ideas and high-level product direction from the Product Owner and turn them into comprehensive, structured documentation for product, engineering, and QA teams.
  • Gather, clarify, and document requirements from Product Owners, stakeholders, developers, QA engineers, architects, and other relevant team members.
  • Translate business needs into clear, actionable, build-ready deliverables: epics, user stories, acceptance criteria, business requirements, functional requirements, technical requirements, and process flows.
  • Create and maintain detailed documentation that explains the full context of the feature or change, including:
    • product goals and business value
    • user needs and user flows
    • functional requirements
    • technical requirements
    • business rules
    • edge cases and exceptions
    • dependencies and assumptions
    • data flows and data mappings
    • API/integration notes
    • acceptance criteria
    • QA/testing notes
    • release notes and delivery documentation when needed
  • Break down documented requirements into clear Jira tasks, stories, subtasks, and backlog items for the development team.
  • Plan implementation together with developers, QA, product, and other stakeholders to define scope, priorities, estimates, dependencies, risks, and delivery approach.
  • Work closely with developers, QA engineers, architects, product owners, and business stakeholders to ensure requirements are understood, feasible, testable, and aligned with product goals.
  • Turn ambiguity into execution by clarifying scope, priorities, risks, requirements, assumptions, success metrics, and expected outcomes early.
  • Keep the backlog structured, transparent, and ready for development.
  • Support project delivery by coordinating priorities, timelines, dependencies, risks, blockers, and stakeholder communication.
  • Facilitate Agile/Scrum processes: backlog refinement, sprint planning, daily stand-ups, sprint reviews, retrospectives, QA handovers, release readiness, and post-release learning.
  • Help the team work in short delivery cycles: idea → requirements → documentation → tasks → planning → build → test → release → improve.
  • Use data-driven thinking to validate decisions, measure impact, and support continuous improvement.
  • Use AI tools to speed up routine work such as drafting specifications, summarizing meetings, generating structured templates, preparing project updates, and validating edge cases — while keeping accuracy and security intact.

What we’re looking for

  • 6+ years of experience as a Business Analyst, IT Business Analyst, Systems Analyst, Technical Business Analyst, Product Owner, Project Manager, Delivery Manager, or similar role.
  • Strong hands-on experience in Business Analysis within software development, SaaS, or product companies.
  • Excellent documentation skills: ability to write comprehensive, structured, build-ready documentation for developers, QA, product, and business stakeholders.
  • Proven experience taking high-level product ideas from a Product Owner or business stakeholder and turning them into clear requirements, tasks, and implementation plans.
  • Strong experience gathering requirements, clarifying scope, documenting assumptions, identifying edge cases, and aligning stakeholders.
  • Strong experience translating business needs into epics, user stories, acceptance criteria, functional requirements, technical requirements, process flows, and release documentation.
  • Experience creating and maintaining Jira tasks, stories, subtasks, backlog items, and sprint-ready requirements.
  • Good technical understanding of modern web/product systems: client-server architecture, HTTP, JSON, REST/GraphQL, APIs, databases, integrations, and system behavior.
  • Solid SDLC understanding and experience working with Agile teams.
  • Practical experience with Scrum processes, including backlog refinement, sprint planning, daily stand-ups, sprint reviews, retrospectives, and release coordination.
  • Experience coordinating software development teams and managing delivery priorities, dependencies, risks, and stakeholder expectations.
  • Tooling proficiency: Jira, Notion, Miro, ClaudeCode, Figma, Postman or similar tools.
  • Strong stakeholder management: you can align product, engineering, leadership, and business with clarity and calm.
  • Strong organizational skills: you can manage documentation, priorities, timelines, meetings, follow-ups, and delivery risks without losing details.
  • English: Upper-Intermediate+ for collaboration, facilitation, and documentation.
  • Language bonus:
    • Swedish is a strong plus (conversational/professional level or native).
    • Ukrainian/Russian is a plus for smoother communication with part of the team.
  • AI usage experience: practical experience using AI tools to accelerate analysis, documentation, planning, meeting summaries, reporting, and requirements validation workflows (we’ll support and compensate relevant subscriptions).

 

Nice to have

  • Previous experience as a Technical Business Analyst, Systems Analyst, QA, developer, product owner, or technical project coordinator.
  • Experience in SaaS or product companies.
  • Strong experience writing technical documentation for engineering and QA teams.
  • Scrum Master, Product Owner, PMP, PRINCE2, AgilePM, or similar certification.
  • Exposure to Laravel, React, or similar product stacks.
  • Familiarity with CI/CD, AWS/cloud concepts, or containerized environments such as Docker.
  • Experience improving BA processes, documentation standards, backlog quality, delivery metrics, or cross-team communication.

 

Interview process (3 steps)

  3. Final approval interview with the CTO.
