As an Email Deliverability & Sender Reputation Strategist, you’ll be responsible for protecting inbox placement and sender reputation across our large-scale US newsletter portfolio. You will monitor account health, identify early signs of deliverability risk, recover at-risk accounts from spam folder placement, and build clear playbooks that help the team maintain healthy sending practices at scale. You will work closely with Email Marketing Specialists and the product team, and report to the Hiring Manager / Product Lead.


This is not just a DNS configuration role. Our accounts run on managed newsletter platforms with their own sender domains, so we are not looking for someone whose expertise is limited to SPF/DKIM/DMARC setup or dedicated IP strategies. What we need is someone who understands why ISPs actually filter, how sender reputation works in practice, and how to improve inbox placement within the real constraints of shared sending infrastructure.


A key part of this role is not only preventing reputation issues before they happen, but also recovering accounts that have already slipped into spam folders. At our scale, even strong systems occasionally face deliverability drops, so we’re specifically looking for someone with real, hands-on recovery experience and proven methods that work in production.


Key Responsibilities:

  • Monitor sender health across multiple newsletter accounts, including inbox placement, spam rates, bounce rates, unsubscribe rates, complaint rates, and reputation signals
  • Diagnose deliverability issues and identify root causes when account performance drops or sends begin landing in spam folders
  • Develop and maintain scalable deliverability playbooks for account warm-up, list hygiene, recovery, segmentation, and safe sending practices
  • Recover at-risk or spam-foldered accounts using structured, evidence-based methods and document successful recovery strategies
  • Review content and sending patterns for deliverability risks, including cadence, audience quality, content structure, link patterns, and engagement signals
  • Build or maintain early-warning systems, dashboards, or tracking processes that help the team detect reputation issues before they impact revenue
  • Stay up to date on ISP behavior and policy changes across Gmail, Outlook/Microsoft, Yahoo, and Apple Mail
  • Train and support internal teams on deliverability best practices, risk prevention, and practical actions when issues appear

Requirements:

  • 3+ years of experience in email deliverability, sender reputation, compliance, trust & safety, or high-volume email sending operations
  • Strong understanding of how major ISPs such as Gmail, Outlook/Microsoft, Yahoo, and Apple Mail filter emails and determine inbox vs spam placement
  • Proven track record of recovering accounts from spam folder placement, with documented success cases, clear methodology, and measurable outcomes
  • Experience diagnosing deliverability issues and identifying root causes beyond surface-level fixes
  • Experience working at scale across multiple brands, sender accounts, or newsletter portfolios, rather than just one or two accounts
  • Practical understanding of sender reputation mechanics, including engagement signals, complaint thresholds, list hygiene, sending cadence, warm-up dynamics, and segmentation impact
  • Experience working within shared sending infrastructure or managed newsletter/email platforms, with a clear understanding of what can and cannot be influenced
  • Hands-on experience with deliverability tools such as Google Postmaster Tools, Microsoft SNDS, GlockApps, Mail-Tester, Warmy, InboxAlly, or similar
  • Strong English communication skills (C1+) for writing documentation, playbooks, and explaining complex topics clearly to non-technical teammates
  • Strong ownership mindset, analytical thinking, research-driven approach, and attention to detail

Nice to have:

  • Experience with Beehiiv, Substack, Ghost, or similar managed newsletter platforms
  • Experience with seed list testing, inbox placement monitoring, or reputation monitoring tools
  • Experience in US finance, health, or other compliance-sensitive verticals
  • AI-native approach: experience using ChatGPT, Claude, or similar tools for research, documentation, and process improvement
