Our customers love our products, our growth is real - and we need someone to run the operational machine while the founder focuses on building the brand and developing new products.

Amazon is our primary growth vehicle. We're an AI-first company: every team member uses AI tools daily, and we expect you to be ahead of the curve - not catching up.

๐ŸŽฏ Mission of the Role
As Operations Manager, you will be the #2 at this company - not on paper, but for real. You'll own every operational system, every process, every meeting, every deadline, and the daily output of your direct reports.

Within 90 days, the founder should be able to step away from day-to-day operations entirely. You make that possible by actually owning it - not checking boxes and waiting to be told what to do next.


Requirements

๐Ÿ”น 3+ years managing operations for an Amazon FBA brand ($2M+ annual revenue)
๐Ÿ”น Managed at least 3 remote team members directly
๐Ÿ”น Advanced daily user of AI tools (Claude, ChatGPT) โ€” with demonstrable examples
๐Ÿ”น English fluency โ€” this is a writing-heavy role; communication must be crystal clear
๐Ÿ”น Available during core hours: 9 AMโ€“2 PM AST (UTC-4)
๐Ÿ”น Built SOPs and operational systems from scratch
๐Ÿ”น Proficient in Amazon Seller Central: inventory, IPI score, stranded inventory, FBA shipments
๐Ÿ”น Proficient in Asana (or equivalent) and Excel/Google Sheets

โš ๏ธ This role includes a 90-day probationary period with performance evaluations at 30, 60, and 90 days.


Responsibilities

๐Ÿ‘ฅ Team Management
๐Ÿ”ธ Directly manage inventory/ops lead, graphic designer, and PPC team
๐Ÿ”ธ Run daily async standups, weekly team meetings, and weekly 1-on-1s
๐Ÿ”ธ Build KPI frameworks for every role; hold people accountable
๐Ÿ”ธ Handle all performance issues โ€” late deliverables, unclear work, sub-standard output

๐Ÿ“ฆ Inventory & Supply Chain
๐Ÿ”ธ Review and approve all reorder recommendations before POs go to suppliers
๐Ÿ”ธ Verify sales velocity, lead times, safety stock, and FBA receiving timelines
๐Ÿ”ธ Own the shipment pipeline: supplier โ†’ freight โ†’ FBA inbound โ†’ 3PL coordination
๐Ÿ”ธ Monitor sell-through rates, days of supply, and proactively flag stockout risks
๐Ÿ”ธ Run a weekly inventory review covering stock levels, inbound status, and flags

๐Ÿ“Š PPC Oversight
๐Ÿ”ธ Run weekly PPC check-ins; collect reports, format data, flag anomalies
๐Ÿ”ธ Own the operational rhythm around PPC โ€” not the strategy itself

๐Ÿ“‹ Reporting
๐Ÿ”ธ Deliver a weekly ops report: team performance, project status, inventory flags, vendor updates, financial summary, blockers
๐Ÿ”ธ Goal: founder goes from checking 6 platforms daily to reading one report and having one 30-minute call per week

๐Ÿ—‚๏ธ Project Management
๐Ÿ”ธ Own the entire Asana workspace: task creation, assignment, due dates, follow-up
๐Ÿ”ธ Build templates for recurring workflows; maintain one clean dashboard
๐Ÿ”ธ Nothing falls through the cracks โ€” period

๐Ÿ“ SOPs & Systems
๐Ÿ”ธ Document all core workflows: supply chain, product launch, listing updates, shipments
๐Ÿ”ธ Build a company knowledge base so nothing lives only in someone's head
๐Ÿ”ธ If you're writing SOPs manually without AI assistance, you're already behind

๐Ÿ’ฐ Financial Operations
๐Ÿ”ธ Final sign-off on all supplier invoices before payment
๐Ÿ”ธ Manage software subscriptions, service providers, and recurring payments
๐Ÿ”ธ Track payment schedules, flag unused tools, deliver a weekly financial summary

๐Ÿค Vendors & Contractors
๐Ÿ”ธ Serve as primary point of contact for all external consultants and contractors
๐Ÿ”ธ Follow up aggressively on timelines; flag delays with options, not just problems

๐Ÿ” Hiring & Onboarding
๐Ÿ”ธ Lead the hiring process for new roles
๐Ÿ”ธ Build 30/60/90-day onboarding plans for new team members
