Cold Email Outreach Specialist, Data Researcher

Come Back Agency supports US software and technology companies by running their hiring process. We work with delivery and leadership teams to define roles, screen candidates, and manage interviews. Successful candidates are hired directly by the company and become part of its team.
 

This position is with a US-based software company providing custom development and AI implementation for North American clients. The team builds and maintains production software, including AI-enabled systems, and works in long-term client engagements. Team members operate as part of an internal, distributed team and collaborate directly with client stakeholders.
 

What you will do

• Own the full lifecycle of cold email campaigns — from contact research and database preparation to campaign launch, monitoring, and optimization
• Find relevant contacts, including founders, decision-makers, and employees of target companies
• Work with limited initial data such as company name, industry, location, or contact name
• Find and verify professional email addresses using research and data enrichment tools
• Build, clean, and maintain accurate prospect databases
• Check data for duplicates, incorrect matches, and outdated information
• Set up and manage outreach campaigns in Instantly or similar platforms
• Manage more than 20 sending accounts
• Work with campaign volumes of up to 100 emails per sending account per day and approximately 2,000 emails daily in total
• Monitor mailbox health, sending limits, deliverability, bounce rate, spam rate, open rate, reply rate, and positive reply rate
• Add, replace, and maintain sending mailboxes when needed
• Identify performance or deliverability issues and take timely action
• Keep campaign information organized and provide clear daily updates
• Follow structured workflows and quickly adapt to changes in tools and processes
   

What we are looking for

• Hands-on experience launching and managing cold email campaigns
• Practical experience with Instantly, Smartlead, Lemlist, Mailshake, or similar outreach platforms
• Understanding of email deliverability, mailbox health, sending limits, bounce rate, and spam rate
• Experience finding and verifying professional email addresses
• Ability to manage multiple sending accounts and high-volume campaigns
• Strong attention to detail and confidence working with large contact databases
• Ability to identify incorrect data, duplicates, and false matches
• Strong organizational and problem-solving skills
• Reliability and comfort with repetitive, operational tasks
• Ability to work independently and report issues promptly
• English level B1 or higher
• Availability to work full-time from 16:00 to 00:00 Kyiv time
   

Nice to have

• Experience with Apollo, Clay, Hunter, Snov.io, NeverBounce, ZeroBounce, or similar tools
• Familiarity with CRM systems and outbound sales workflows
• Understanding of email warm-up and basic domain authentication principles
• Experience in B2B prospecting, lead generation, recruitment research, or email marketing
• Knowledge of Google search operators and other contact research techniques
