Business Assistant / Trainee Project Manager

We are looking for a driven and tech-savvy Business Assistant / Trainee PM who is ready to grow fast inside an AI-first product company. Someone who brings structure, ownership, and real energy to everything they touch.

What you will be doing

Supporting the CEO, AM, and senior team in day-to-day operations and strategic execution:

  • Managing schedules and calendars for the CEO and all company managers — full ownership, zero missed items
  • Coordinating meetings, follow-ups, and cross-team communication across multiple time zones
  • Working closely with the AM on operational processes and internal workflows
  • Preparing documents, briefs, presentations, and research materials

Growing into a Product Management role:

  • Participating in product sprints alongside PMs and engineers
  • Helping structure product hypotheses, write specs, and prepare demo materials
  • Gathering and organizing market research, competitor insights, and customer feedback

Working hands-on with AI and modern tools:

  • Using AI tools (ChatGPT, Claude, Gemini, etc.) to automate routine tasks and speed up research
  • Maintaining and improving workflows in Google Workspace (Calendar, Docs, Sheets, Drive), Notion, Slack, and task management tools
  • Independently owning your areas — no micromanagement, full accountability

What is critically important for us

  • Experience as a Business Assistant, Personal Assistant, Executive Assistant, coordinator, or similar role
  • Strong organizational and communication skills — you keep things moving without being asked twice
  • English B2 or higher — you'll be working with English-language sources, clients, and materials daily
  • Confident use of Google Calendar, Google Docs/Sheets, Notion, Slack — not just "familiar with," but genuinely fast and structured
  • Genuine curiosity about IT, AI, and the future of digital work — this isn't a checkbox, it's a real requirement
  • High autonomy: you figure things out, flag blockers early, and take ownership of outcomes
  • Early-career energy: you're at the beginning of your professional path and want to move fast, not coast

A plus would be

  • Any exposure to product or project management (even in education or side projects)
  • Experience using AI tools for real tasks — summarizing, drafting, researching, automating
  • Interest in the concept of "digital employees" and AI agents

How we work

  • Format: remote, full-time, reporting to the CEO and working closely with the AM
  • Pace: fast sprints, short feedback loops, high context-switching
  • Growth path: this role is designed to evolve — strong performance leads to a PM title within 6–12 months

Within the first month we expect from you:

  • Full ownership of the CEO's and all managers' calendars and task pipelines — zero missed items
  • Research and structured summary on 2–3 topics relevant to current product priorities
  • At least one process or workflow improved or automated with AI tools
  • Comfortable participation in product discussions — asking the right questions, capturing outcomes
