HR Operations Specialist

Role Overview:

HR Operations Specialist ensures that people-related operations at INSART run predictably, transparently, and data-driven.

The role owns core HR operational processes, enables smooth employee experience, and continuously improves systems and workflows based on metrics, insights, and process analysis.

Expected Outcomes - Artefact-based Metrics
 

  • Operational Stability & Predictability (HR Core Processes)
    All core HR processes β€” including pre-onboarding, onboarding, offboarding, HR requests, trial period completion (30–60–90 plans), and compensation review cycles β€” are executed on time, consistently, and in accordance with defined processes, with clear ownership and documentation
  • HRMS PeopleForce Administration & Data Integrity
    HRMS PeopleForce is fully administered and kept up to date, and used as the single source of truth for people data and HR operations
  • Data-Driven HR Operations
    HR processes are measurable: key metrics are tracked, deviations are visible, and decisions are supported by data.
  • Efficient Request & Support Flow
    All consultant requests (via Toucan Bot) are handled within SLA, with clear ownership and transparent status.
  • Continuous Process Improvement
    HR Ops processes are regularly analyzed and improved based on data, bottlenecks, and feedback. 





Responsibilities
 

  • Manage and monitor consultant requests via Toucan Bot, ensuring all requests are handled within SLA, with clear ownership, transparent status updates, and timely resolution.
  • Own and execute all core HR operational processes end-to-end, including pre-onboarding, onboarding, offboarding, HR requests, trial period completion (30–60–90 plans), and compensation review cycles, ensuring on-time delivery, consistency, and proper documentation.
  • Administer and maintain HRMS PeopleForce as the single source of truth for people data and HR operations, including employee records, access rights, time reports, PTO, surveys, OKRs/KPIs, and the knowledge base.
  • Track and analyze HR operations metrics (SLA, cycle time, volume, trends), identify deviations and bottlenecks, and prepare structured reports and dashboards to support data-driven decisions.
  • Continuously analyze and improve HR Ops processes based on data, feedback, and operational risks, reducing manual work, errors, and process delays.
    Coordinate cross-functionally with HRBP, Finance, IT, and Hiring Managers to resolve dependencies, align on timelines, and deliver outcomes without siloed execution.
  • Prepare structured summaries, data insights, and improvement options to support leadership, Hiring Managers, and HRBP in people-related decisions.
  • Coordinate business travel and visa-related processes (including U.S. visas), managing documentation, timelines, budgets, and external providers in compliance with requirements.
  • Conduct operational research and manage vendor selection and delivery for HR-related needs (services, locations, contractors, logistics), ensuring quality, budget adherence, and timely execution.
  • Document HR processes, rules, updates, and decisions clearly, and communicate changes in a structured and professional manner to internal and external stakeholders.
