Trinetix DesignOps Team provides services that support high quality crafts methods and processes within the Design Department.

Responsibilities: 

The "relationship guru" who keeps clients and team happy, ensures projects run smoothly and handles billing and invoicing. This position is perfect for a proactive individual who thrives in a dynamic environment and has a passion for improving workflows, managing resources, and supporting a collaborative team culture.  

    Finance and Document Management: 

  • Manages billing and invoicing processes for clients, ensuring timely and accurate invoicing and addressing any client concerns related to billing or payments. 
  • Composes the project cost estimates and work plans and delivers them to clients. 
  • Creates Statement of Work and related documents for the projects in collaboration with the Legal team. 

     

    Client Relations: 

  • Develops and maintains strong relationships with existing clients. 
  • Identifies opportunities for upselling and cross-selling services in close collaboration with the responsible Lead Creative Project Manager. 
  • Monitors client satisfaction and addresses any concerns. 
  • Team Well-being and Culture:  
  • Establish and maintain processes to monitor and enhance the team’s well-being, ensuring a supportive work environment.  
  • Mediate and resolve conflicts within the team to maintain a positive and collaborative dynamic.  
  • Advocate for the team’s needs and challenges with leadership to secure necessary resources and support.  
  • Mentor team members to foster their professional growth and development.  

     

    Process Optimization and Operations:  

  • Define, refine, and document design processes to ensure efficiency and clarity across projects.  
  • Evaluate and maintain design tools to align with team needs and improve integration with other systems.  
  • Develop and manage standardized documentation and templates to streamline operations.  
  • Ensure all operational processes are carried on in an appropriate way. 
  • Help team leads with people operations (onboarding, offboarding, feedback sessions, etc.). 

     

    Project Coordination: 

  • Collaborates with internal teams to deliver outstanding services and meet client expectations from a business perspective. 
  • Ensures seamless communication between clients and the studio throughout the relationship. 
  • Receives, processes and transitions incoming project requests to Lead Creative Project Manager. 
  • Oversees active projects to make sure all client targets are met. 
  • Facilitates regular Retrospective meetings throughout the projects’ execution. 

     

    Resource & Capacity Planning: 

  • Manages and oversees resource allocation and team capacity planning. 
  • Supports connecting people from other teams or organizations. 
  • Design system management:  
  • Records and addresses team feedback on the design system, ensuring questions are answered and actionable tasks are created.  
  • Manages the design system backlog by prioritizing updates and communicating changes to the team and stakeholders.  

 

Requirements

  • Proactive and collaborative mindset 
  • Enthusiasm for fostering a healthy environment in a team 
  • Advanced English 
  • Good “relationships” with Microsoft 360 and reports 
  • Proficiency in Agile methodologies, project management tools (Clickup, Jira, Asana or Trello) 
  • 2+ years of experience on similar positions 
  • Experience working with design teams or IT projects is a must 
  • Experience working with Enterprise would be a plus
