About the role

We are looking for an experienced and self-driven IT Support & Operations Specialist to manage IT operations across our European offices.

This person will be responsible for employee devices, office IT infrastructure, user support, vendor coordination, asset management, and basic information security controls. The role requires someone located in the European Union who can work independently, provide remote support to multiple locations, and travel to European offices when on-site assistance is required.

The successful candidate will not only resolve technical issues but will also build and improve a structured IT support process across the region.
 

Key responsibilities

User and workplace support

• Provide remote and on-site IT support to employees across European offices.
• Configure, deploy, maintain, and troubleshoot Windows and macOS laptops.
• Support office equipment, including monitors, docking stations, printers, scanners, conference room equipment, and other peripherals.
• Troubleshoot connectivity, Wi-Fi, VPN, software, account access, and hardware-related issues.
• Support employee onboarding, offboarding, and equipment replacement processes.
• Prepare devices and user accounts for new employees.
• Ensure access and company data are properly removed or secured during offboarding.
• Maintain clear communication with users and ensure support requests are resolved within agreed timelines.
   

Helpdesk and IT processes

• Establish and maintain a centralized helpdesk and ticket management process.
• Define request categories, priorities, escalation procedures, and response expectations.
• Create and maintain internal IT documentation, troubleshooting guides, and employee instructions.
• Identify recurring issues and implement permanent solutions instead of repeatedly resolving the same incidents.
• Track support performance, common issues, unresolved requests, and user satisfaction.
• Coordinate escalations with internal engineering teams, software providers, and external vendors.
   

Device and asset management

• Maintain an accurate inventory of laptops, accessories, licenses, and other IT equipment across European offices.
• Manage the complete device lifecycle, including purchasing, configuration, assignment, repair, replacement, return, and secure disposal.
• Implement and maintain device management standards using MDM or endpoint management solutions.
• Ensure devices are encrypted, updated, protected, and compliant with company security requirements.
• Manage software deployment, operating system updates, endpoint protection, and device configuration policies.
• Monitor warranty status and coordinate repairs or replacement with vendors.
   

Office IT infrastructure

• Support and maintain office networks, Wi-Fi, internet connectivity, printers, meeting room systems, and other local infrastructure.
• Coordinate office openings, relocations, expansions, and IT equipment installations.
• Diagnose local network and connectivity issues and work with internet providers or local contractors to resolve them.
• Maintain basic documentation for each office, including network configuration, equipment inventory, providers, contracts, and emergency contacts.
• Ensure critical office infrastructure has appropriate backup and recovery procedures where required.
   

Vendor and procurement management

• Identify, evaluate, and select local IT suppliers, repair services, internet providers, and other technical vendors.
• Request and compare commercial proposals.
• Coordinate equipment purchasing and service delivery.
• Monitor vendor performance, service quality, costs, contracts, and SLA compliance.
• Maintain relationships with vendors across different European countries.
• Look for opportunities to standardize equipment and reduce unnecessary costs.
   

Security and access management

• Apply and monitor company IT security policies across employee devices and offices.
• Ensure laptops use disk encryption, screen locking, endpoint protection, secure authentication, and current operating system updates.
• Support implementation and maintenance of multi-factor authentication, password management, VPN, and device management solutions.
• Assist with user access reviews and removal of unnecessary access.
• Help security team identify and escalate security risks, suspicious activity, lost devices, phishing attempts, and policy violations.
• Support security awareness activities and provide employees with practical guidance on secure device usage.
• Ensure company equipment and data are handled in accordance with internal policies and applicable European data protection requirements.
   

Required experience and skills

• 8+ years of experience in IT support, system administration, workplace IT, or a similar role.
• Practical experience supporting users across multiple offices or countries.
• Strong troubleshooting skills for Windows and macOS devices.
• Experience with Google Workspace administration.
• Experience with user onboarding, offboarding, account management, and access permissions.
• Understanding of office networks, Wi-Fi, VPN, DNS, DHCP, TCP/IP, and basic firewall concepts.
• Experience supporting printers, meeting room equipment, and office peripherals.
• Experience with ticketing or helpdesk systems such as Jira Service Management, Zendesk, Freshservice, ServiceNow, or similar.
• Understanding of endpoint security, disk encryption, MFA, password managers, antivirus or EDR solutions, patch management, and secure device disposal.
• Experience managing IT assets, equipment procurement, and external vendors.
• Ability to document processes and create clear technical instructions.
• Strong organizational and prioritization skills.
• Ability to work independently, take ownership, and make practical decisions without constant supervision.
• Good written and spoken English.
   

Nice to have

• Experience establishing a helpdesk process from scratch.
• Experience managing IT operations for distributed or remote-first companies.
• Experience with identity providers and SSO solutions such as Microsoft Entra ID, Okta, Google Workspace
• Basic knowledge of Linux.
• Experience with automation using PowerShell, Bash, Python, or similar tools.
• Familiarity with ISO 27001, SOC 2, GDPR, or similar security and compliance frameworks.
• Experience with Apple Business Manager, Windows Autopilot, zero-touch device deployment, or similar technologies.
• Experience supporting office IT projects in several European countries.

• The candidate must be based in the European Union.

During the first months, the successful candidate is expected to:

• Create a clear inventory of European IT equipment, vendors, systems, and office infrastructure.

INTERSOS Ukraine is a subdivision of the international humanitarian organization INTERSOS (Italy).

We provide support to victims of emergencies, armed conflicts and natural disasters with particular attention to the most vulnerable categories: children, women, elderly people, displaces persons, who were forced to flee their homes and moved to safer places and also to those who cannot leave the dangerous regions and are under constant threat.

INTERSOS teams are present in Odesa, Kyiv, Kharkiv, Mykolayiv, Kherson and now expand their activities in Sumy.

INTERSOS Ukraine provides economic, humanitarian and medical aid, psychological support, organizes educational activities, gives medicines and equipment to the hospitals, provides shelter and ensures basic human needs. During one year of our work in Ukraine we provided support to more than 100 000 people. 75 000 of them received aid in the sphere of protection, prevention and emergency care. 3 000 medical consultations were carried out in remote regions, which are not covered by the official heath care system. 49 medical institutions received medicines, medical devices and equipment.

We are opening a vacancy of the Information Management Officer

Location: Kharkiv

Duration of contract: till 31/12/2026 with possibility for extension.

Main Purpose

Develop and maintain information management (IM) strategy and tools in accordance with INTERSOS standards IM Approach (covering Data Collection, Data Storing, Data Analysis, Data Reporting and Sharing, Data Archiving), to improve data management and quality, and promote internal and external communications.

Create operational data management systems to enable effective collection, management, analysis of data, in compliance with quality standards and data protection/data sharing policies and protocols.

The Informational Management Officer (IMO) will have a strong technical role in designing, building and maintaining programme dashboards from scratch, including interactive dashboards and visual information products that provide a real-time overview of INTERSOS Ukraine operations, activities, indicators, targets, achievements and geographic coverage.

The role will support senior management, Programme, MEAL and field teams to visualise programe implementation trough maps, filtrs and dashboards, including project, donor, sector, activity, indicator, location, reporting period and assisted individuals and/or households

Reporting to: 

Hierarchical: MEAL Coordinator/MEAL Manager or HoP/HOM (if MEAL Dept is not present)

Functional: ICT & IM Coordinator

Tasks

• Develop data collection, data management and data visualisation tools and procedures, in accordance with INTERSOS standard approach, and in close collaboration with the MEAL and the Programmes department 
• Design, build and maintain operational programme dashboard from scratch, primarily using Excel, Kobo and Google Data Studio/Looker Studio
• Develop interactive dashboards showing INTERSOS programme coverage across Ukraine, including maps by oblast, raion, hromada and settlement where data is available.
• Ensure dashboards allow users to filter data by project, donor, sector, activity, indicator, location, time period, partner, target versus achievement, individuals assisted and households assisted.
• Ensure regular update and quality of programmes’ DB, guaranteeing data protection protocols are respected and internal sharing is aligned with INTERSOS IM requirements.
• Develop and maintain clean programme datasets and standard templates for projects, activities, indicators, locations and beneficiary disaggregation
• Consolidate data from Kobo, TTI, datasets, Google Data Studio/Looker Studio and other programme data sources
• Support Programmes and MEAL staff in conducting assessments, by developing ad hoc surveys, forms and other tools as needed, and by providing capacity building to the field teams 
• Develop and improve Kobo forms, data collection workflows and data validations rules to support accurate and harmonised field-level data collection
• Proactively gather information from other clusters, organisations and partners on relevant areas of concern and interest for the mission 
• Clean, aggregate, compile, and analyse projects’ datasets, ensuring quality and accuracy of final data
• Conduct regular data quality checks, outlier identification and follow-up with field teams on data gaps or inconsistencies
• Produce visual materials with relevant project data to support communications and reporting, and to enhance internal communication both within the mission and between the mission and HQ, in collaboration with the Communication department 
• Build the capacity of other team members on the use of online data collection and data management tools 
• Regularly train field teams in the use of data collection tools 
• Provide technical guidance to MEAL and programme staffs of IM tools on and its correct use 
• Prepare quarterly, monthly and weekly reports of activities, in line with MEAL and programmes requirements 
• Support the preparation of 4Ws/5Ws, Activity Info and other cluster porting by providing accruate, cleaned and disaggregated programme data.
• Liaise with technical IM staffs of other organisations and participate in meetings and activities by coordinating bodies/clusters, under the supervision of the MEAL Coordinator or MEAL Manager 
• Strictly follow the internal procedures and guidelines and Standard Operating Procedures (SOPs) 

• Any additional tasks in support of project, programme or Mission’s information management as assigned by the Line manager 

  
  Requirements

Education 

• Degree in relevant field (information management, analysis, statistics or other related area) or ideally a degree or certification in data analytics, information systems, computer science, GIS, statistics, or any other related field

Professional experience 

• Minimum 3 years relevant professional experience of providing information management support in humanitarian context 
• Proven and demonstrable knowledge and experience in statistics, data analysis and/or information management
• Proven experience designing and maintaining dashboards, from raw or multi-source datasets.
• Experience working with humanitarian programme data, including indicators, targets, achievements, beneficiary tracking and geographic/activity reporting.
• Experience managing sensitive data, preferably protection, GBV, health, cash assistance or beneficiary-related data, is highly desirable.

Professional requirements 

• Ability to use a logical and structured approach to collate, manage and synthesise both qualitative and quantitative information 
• Reporting skills, experience with monitoring tools and systems, different data collection methodologies and analysis 
• Advanced skills, including dashboard design, data modelling, relationships, filters, measures and visualisation.
• Good knowledge of Power Query and DAX is strongly desirable.
• Advanced spreadsheet skills (Excel, Google Sheet) and experience with analytical software packages is an asset
• Strong experience with Kobo Toolbox / Appsheet / ODK or similar mobile data collection platforms. 
• Experience with Google Data Studio / Looker Studio is desirable.
• Experience with GIS or mapping tools, including QGIS, ArcGIS, maps or similar tools, is highly desirable.

About the Role

Analytics & Optimization
 

• Analyze CRM performance and customer behavior to identify growth opportunities.
• Develop segmentation strategies to maximize engagement and retention.
• Lead A/B testing initiatives across communications, offers, customer journeys, and promotional mechanics.
• Monitor customer engagement metrics, churn rates, retention, conversion, and lifetime value.
• Collaborate with BI and Data teams to improve reporting frameworks and customer insights.

Cross-Functional Collaboration

• Work closely with Product, Marketing, VIP, BI, Operations, and Creative teams to deliver integrated customer experiences.

• Partner with Product teams to implement retention features and loyalty initiatives.

Deliverability & Compliance
 

• Monitor email deliverability, domain reputation, and communication performance.
• Ensure compliance with communication regulations and customer consent management.
• Oversee subscription and unsubscription processes to maintain healthy communication databases.

Requirements
 

• 3+ years of CRM experience, including at least 1 year in a leadership or senior CRM role.
• Proven experience developing and executing CRM and retention strategies.
• Strong expertise with CRM and marketing automation platforms (Customer.io, Optimove, Хtremepush, FastTrack, Salesforce Marketing Cloud, Braze, or similar).
• Strong analytical skills with hands-on experience in customer segmentation and performance analysis.
• Advanced Excel/Google Sheets skills; SQL knowledge is a strong advantage.
• Experience managing A/B testing programs and data-driven optimization initiatives.
• Understanding of customer lifecycle marketing, retention, loyalty programs, and behavioral segmentation.
• Experience working with email deliverability and communication best practices.
• Excellent project management and stakeholder management skills.
• Strong leadership, mentoring, and team development capabilities.
• iGaming experience is highly preferred.

As a Lead NetOps Engineer, you'll design and evolve the network infrastructure that keeps our global platform fast, resilient, and ready to scale. You'll lead complex solutions across data centers, remote sites, and hybrid cloud environments while partnering across the organization to deliver secure, reliable network systems. In this role, you'll shape the future of our infrastructure through automation, cloud networking, and technical leadership that strengthens how our teams build and operate at scale.

What You'll Do

• Design and lead complex network solutions across data centers, remote sites, and hybrid cloud environments, including AWS, GCP, advanced firewall, routing, switching, VPN, and BGP technologies.
• Implement advanced infrastructure as code patterns, including remote state, modules, and workspaces.
• Design automation and infrastructure as code solutions for multi-vendor network platforms, including FortiGate, Aruba, and Juniper.
• Triage, debug, and resolve complex production issues while driving a culture of accountability and operational excellence.
• Act as a technical mentor and coach, providing guidance and feedback that helps engineers grow and deliver their best work.
• Play a critical role in shaping the team’s technical roadmap and engineering direction while fostering a culture of ownership and continuous learning.
• Join the on-call rotation, taking ownership of incident resolution and providing senior-level escalation support for critical outages.
• Maintain the health, performance, and security of our global infrastructure across hybrid environments using observability tools such as Datadog.

What You'll Bring

• Bachelor's degree in Computer Science or any suitable combination of education, experience, and training. 
• At least 5 years of network administration experience with routers, switches, firewalls, VPNs, and routing and switching protocols, including at least 3 years of cloud networking experience across AWS, GCP, and hybrid data center connectivity.
• Proven ability to architect, build, and scale complex network infrastructure.
• A strong track record of mentoring engineers, leading change and design reviews, and driving high-impact technical decisions across cross-functional teams.
• Hands-on experience with Aruba switching and FortiGate firewalls, along with a strong understanding of BGP, routing, switching, VPNs, firewalls, and hybrid cloud connectivity.
• Proven experience with infrastructure as code, Git-based workflows (GitOps), and advanced scripting in Python and Bash.
• Experience with monitoring tools such as Datadog and hands-on familiarity with AI-assisted engineering tools, including Claude, Codex, and Gemini.
• Strong communication, collaboration, and mentoring skills, with the ability to influence technical roadmaps, align cross-functional teams, explain complex infrastructure concepts to technical and non-technical stakeholders, and develop engineering talent through coaching and technical guidance.
• Strong analytical and problem-solving skills, with the ability to remain composed while leading the resolution of critical production issues.
