Jobs Project Manager

Description

We're hiring a Project Manager (Pod Lead) for our Newsletter Operations team. You'll report to the Operations Manager and lead a pod of Email Marketing Specialists. You'll work closely with Broadcast Managers, QA Managers, designers and writers.

Your job is to make sure things that get started actually get finished. That means SOPs get learned and used, triggered workflows turn into real work, and marketers learn to solve problems on their own. You're the first check between the marketers' work and the Operations Manager. Anything you send up should already include context, analysis and a suggested next step.

Responsibilities

• Watch newsletter health across the pod: growth status, send consistency, segmentation and whether the numbers are right
• Check issues that marketers report, and turn them into documented cases with a suggested fix before sending them up
• Run team problem-solving sessions, case reviews and regular 1:1s matched to each person's level
• Share every SOP and process update, and follow up until it's understood and actually used
• Make sure triggered processes (such as growth-stage QA checks) get done and don't stop at a notification; reopen delayed items and assign next steps
• Track growth milestones, and make sure promo, broadcast, QA and partner actions happen on time
• Help marketers with fixes, drafts and ideas, and review their work before it goes to designers or for approval
• Keep track of paused newsletters and what's needed to restart them, so pauses don't drag on
• Check writers' work for quality patterns, and track designer tasks from start to finish
• Coordinate newsletter transfers and side projects within the pod
• Make sure inboxes are monitored across the pod, and review sensitive or complex subscriber replies before they go out

Requirements

• Experience managing or coaching a team in a fast-paced, process-driven setting (newsletter, marketing or content operations preferred)
• Strong coaching and facilitation skills: you can run case reviews and 1:1s that build skills, not just check status
• Structured problem-solving: you can turn a vague issue into a clear analysis with a suggested action
• Comfortable tracking health checks, SOP rollouts, growth triggers, paused newsletters, transfers at once, without dropping any
• Good judgment on what to fix within the team and what really needs to go up
• Experience giving clear, useful feedback to marketers, writers or designers
• Very organized and detail-oriented
• Strong written and spoken communication, including reviewing and improving replies to subscribers

Nice to have

• Background in newsletter, marketing or content operations
• Hands-on experience with newsletter platforms, growth stages or broadcast workflows
• Experience writing or rolling out SOPs
• Experience with project tracking tools for managing many open items across a team

• A Clear Communicator: Able to articulate complex technical dependencies, timelines, and risks clearly to both engineers and business stakeholders.
• A Problem-Solver: Self-motivated, resilient, and focused on unblocking bottlenecks quickly and pragmatically.
• A Tech-Savvy Organizer: Possess a sound understanding of modern software development life cycles (SDLC) and feel comfortable speaking the same language as developers and DevOps engineers.
• A Team Player: Foster high engagement, transparency, and a positive, collaborative engineering culture across distributed teams.

We Offer

• Flexibility & Hubs: Flexible working hours with physical office access in Ukraine and Poland (Wroclaw).
• Health & Wellness: Medical Insurance in Ukraine and Multisport program in Poland.
• Time Off: Paid vacation, sick leave, and all official holidays.

• Maintain accurate pipeline data in CRM
• Onboard new clients and ensure a smooth start with the product
• Build long-term relationships and become a trusted partner for key accounts

• Experience working with CRM systems (HubSpot, Pipedrive, Salesforce, or similar)
• Upper-Intermediate English or higher for internal communication and documentation

• Self-motivated with excellent time management and prioritisation skills

We Offer

• Competitive salary
• Flexible schedule

This role is ideal for someone who enjoys working in a fast-moving startup environment, can quickly understand complex systems and APIs, translate ideas into clear product specifications, and use modern AI tools to accelerate product discovery, prototyping, documentation, and delivery.

The ideal candidate is highly adaptable, technically curious, detail-oriented, and comfortable owning work end-to-end — from gathering requirements and analyzing systems to creating prototypes, supporting development, preparing user documentation, and enabling go-to-market adoption.

Key Responsibilities

1. Product Discovery & Requirements Gathering

• Work closely with customers, stakeholders, business teams, and internal users to understand business needs and pain points.

• Analyze existing features and systems to identify improvement opportunities.
• Understand how new features will interact with existing functionality.
• Work closely with developers and technical teams to clarify implementation approaches and resolve functional ambiguities.
• Analyze data flows, business processes, system dependencies, and integration points.

5. API & Integration Analysis

• Review and analyze API documentation, including endpoints, request/response structures, authentication, parameters, error handling, and integration requirements.
• Understand how internal and third-party APIs can support product requirements.
• Identify API limitations, dependencies, and potential integration risks.
• Translate API capabilities into clear product and functional requirements.
• Support engineering teams by providing clear documentation and context around API-related requirements.

6. User Guides & Product Enablement

• Create clear and practical user guides, feature documentation, FAQs, release notes, and internal documentation.
• Translate complex product functionality into easy-to-understand instructions for end users and internal teams.
• Work with support, sales, customer success, and other teams to ensure they understand new functionality.
• Keep documentation aligned with product releases and feature changes.

7. Go-to-Market & Feature Adoption

• Support go-to-market activities for new features and product capabilities.
• Translate product functionality into clear customer-facing value propositions and use cases.
• Work with marketing, sales, customer success, and other teams to support feature launches.
• Help develop feature adoption strategies, onboarding materials, release communications, and enablement content.

8. Agile Product Delivery

• Work closely with engineering, design, QA, and business teams throughout the product lifecycle.
• Participate in sprint planning, refinement, demos, reviews, and other product development activities.
• Clarify requirements during development and help resolve questions quickly.
• Validate completed features against requirements and acceptance criteria.
• Continuously prioritize work based on business value, customer impact, technical dependencies, and company priorities.

Required Skills & Experience

• Experience in Product Management, Business Analysis, Product Analysis, or a similar role.
• Strong ability to gather, analyze, and document business and functional requirements.
• Excellent understanding of software products, web applications, workflows, and system behavior.
• Ability to create detailed product specifications and user stories.
• Strong analytical and problem-solving skills.
• Ability to understand and analyze APIs and technical documentation.
• Experience creating prototypes or proof-of-concepts using modern tools.
• Hands-on experience with AI tools such as Claude, ChatGPT, and other AI-assisted productivity/development tools.
• Strong written and verbal communication skills.
• Ability to communicate effectively with both technical and non-technical stakeholders.
• Strong attention to detail without losing sight of the bigger product/business objective.

Startup Mindset

We are looking for someone who thrives in an environment where priorities can change quickly and roles are not rigidly defined.

You should be someone who:

• Adapts quickly to changing business and product requirements.
• Is comfortable working with ambiguity and figuring things out independently.
• Takes ownership rather than waiting for detailed instructions.
• Is willing to be hands-on across product, analysis, documentation, prototyping, and delivery.
• Learns new technologies and tools quickly.
• Is comfortable switching between strategic thinking and detailed execution.
• Can move quickly while maintaining a high standard of quality.
• Enjoys experimenting with AI and emerging technologies.
• Is proactive about identifying problems and proposing solutions.

• Can operate effectively in a dynamic, high-growth startup environment.

What Success Looks Like

In this role, you will be successful if you can take a business problem or product idea and independently move it toward execution by:

Understanding the problem → Gathering requirements → Analyzing the system → Defining the solution → Creating AI-assisted prototypes → Writing detailed specifications → Supporting development → Validating the feature → Creating user documentation → Supporting go-to-market → Driving feature adoption.

Ideal Candidate

The ideal candidate is a product thinker with strong business analysis capabilities and enough technical understanding to work comfortably with engineering teams.

You don't need to be a software developer, but you should be technically curious, comfortable reading API documentation and system flows, capable of understanding how software works, and willing to get hands-on with modern AI tools to accelerate your work.

If you enjoy turning ambiguous ideas into well-defined products and are excited about using AI to work faster and smarter, this role is for you.

Codex.
