Senior Production Project Manager

Role Overview

Media Miami is seeking a Senior Project Manager to own production delivery. The role manages the design team, owns coordination with the content, tech, and marketing teams, and is accountable for the output of the production function.

Production runs to a fixed schedule with a continuous stream of unplanned requests arriving on top of it. Meeting committed deadlines under that load, and strengthening the workflows that support them, is the core of the role.

Key Responsibilities

Production and Delivery

• Own end-to-end delivery of production output, from incoming request through launch.
• Maintain the production schedule (scope, owner, and delivery date for every item in progress) and allocate team capacity against priority.
• Assess ad hoc requests, sequence them against committed work, and confirm revised dates with the requesting team.
• Own handoffs with the content, tech, and marketing teams and resolve cross-team dependencies before they affect the schedule.
• Escalate delivery risk with a proposed mitigation before the deadline is affected.

Design Team

• Manage the design team: workload allocation, task assignment, and delivery control.
• Review output against the brief and return work with defined corrections where standards are not met.
• Resolve blockers on tooling access, source materials, and conflicting instructions from other departments.

Process and Documentation

• Own the production workflow and maintain its SOPs, templates, and checklists in Notion.
• Identify the root cause of recurring delays and defects and implement corrective process changes.
• Standardize and document the workflow so that delivery does not depend on manual follow-up.

Requirements

Must Have

• 4+ years in project, production, or delivery management.
• Demonstrated ownership of end-to-end delivery across several dependent teams.
• Experience managing designers or a comparable creative team, including quality review.
• Track record of meeting committed deadlines in a high-volume environment with frequent unplanned requests.
• Experience building and restructuring operational processes and SOPs, not only executing them.
• Experience with task management systems: Notion, Asana, or equivalent.
• Fluent Ukrainian, the working language of the team. English sufficient for documentation, tooling, and U.S. market content.
• Availability during CET business hours.

Nice to Have

• Hands-on experience with Notion as the primary work system.
• Agency background with high project volume and compressed timelines.
• Experience in media, newsletters, performance marketing, or affiliate.
• Daily use of AI tools in the workflow: GPT, Claude Code, Claude Cowork.
• Experience with Obsidian or a comparable knowledge base.
• Figma at a working level: comments, handoff, version history.
• Basic experience working with code.
• Experience with workflow automation tools: Make, Zapier, n8n.
• Ability to evaluate design output against a brief without acting as art director.
• PM certification (PMP, PRINCE2, Scrum, or equivalent) or completed PM coursework.
