Marketing Operations Manager (relocate to Warsaw)

As a Marketing Operations Manager in Warsaw, you will be responsible for driving the company’s key revenue-generating initiatives in close collaboration with the Product Owner. You will take ownership of projects end-to-end — building and improving processes, aligning teams across departments, and ensuring initiatives move forward and are delivered successfully.
This role requires someone who is independent, structured, and fast-moving, with a strong ability to turn ideas into clear processes and drive execution across multiple stakeholders.
Key Responsibilities:
- Marketing Project Execution — Drive initiatives from brief to completion across newsletters, paid, social, and growth, managing timelines, owners, and dependencies across parallel workstreams.
- Newsletter Leadership & Performance — Partner with the email team to drive newsletter growth end to end, and monitor performance to surface issues early.
- Process, Systems & Reporting — Build and maintain the trackers, cadences, and SOPs that keep the team executing consistently, with clear visibility into every initiative.
- Team Leadership & Development — Lead problem-solving and reviews, run calibrated check-ins, and coach the team to bring solutions, not just problems.
- Quality Control & Follow-Through — Act as the first review layer, validating work before it progresses, and keep every initiative moving through to completion.
- AI & Smart Tooling — Use AI to accelerate the workflow, evaluate new tools, and raise AI fluency across the team.
Requirements:
- 5+ years in project management, with direct experience running marketing initiatives
- Marketing fluency: you understand how newsletters, paid, social, and growth work, and can contribute to strategy
- Proven ability to manage multiple marketing workstreams simultaneously without dropping quality
- Experience building and rolling out project management processes and SOPs across a team
- Hands-on AI tool use in your daily work (hard requirement) — you use them to move faster and can describe exactly how
- Strong problem-solving: root cause analysis, structured thinking, clear recommendations
- Clear, structured communication — updates, escalations, and feedback are always actionable
- Ownership mindset: you follow through, remove blockers, and drive progress without supervision
- Organisational precision across multiple priorities, deadlines, and stakeholders at once
- Excellent written and verbal English (C1 or above)
- Ready to grow into a team leadership role as the marketing function scales
Nice to Have
- Background in newsletter, media, affiliate, or performance marketing
- Hands-on campaign experience — having run campaigns, not just managed the people who did
- Workflow automation tools such as Make, Zapier, or similar
- Project management tools: Notion, ClickUp, Asana, or Airtable
- Email platforms, newsletter operations, or audience growth metrics
- Experience working with designers, writers, QA teams, or cross-functional partners
