Sales Operations Coordinator, AI and Advisory

We are looking for someone who is organized, sharp, proactive, and calm under pressure โ someone who can bring order to a fast-moving environment, keep important work from slipping, and help senior stakeholders execute at a high level.
About the role
This is not a pure administrative assistant role.
This role sits at the center of the AI & Advisory function and helps keep commercial, operational, and executive work moving. You will support the Global Head of AI & Advisory across scheduling, follow-up, pipeline coordination, proposal preparation, CRM hygiene, meeting logistics, internal handoffs, and high-quality business materials.
The right person is not waiting to be told every next step. They are the kind of operator who notices gaps, follows through, chases loose ends, keeps records clean, and helps senior people stay focused on the highest-value work.
This role is ideal for someone with experience in sales coordination, business operations, executive support, or commercial administration in a B2B, technology, or professional services environment.
What you will do
- Own scheduling and coordination for internal, client, partner, and prospect meetings
- Manage calendar logistics for the Global Head of AI & Advisory, including prioritization, rescheduling, preparation, and follow-up
- Coordinate meeting agendas, briefing materials, action items, and next steps so conversations turn into execution
- Help prepare polished proposals, presentations, briefs, and other external-facing business materials
- Maintain accurate records across HubSpot and related systems so meetings, outreach, follow-up, and pipeline activity are current and visible
- Support opportunity coordination across AI & Advisory, Business Development, Service Operations, Finance, Marketing, and Delivery
- Track internal dependencies, approvals, and handoffs so opportunities and projects do not stall
- Monitor shared inboxes and help route, triage, and close the loop on inbound requests
- Support reporting and operational visibility across pipeline, activity, and priority workstreams
- Maintain organized folders, templates, collateral, and working documents for the AI & Advisory practice
- Coordinate logistics for client, partner, and internal events when needed
- Handle travel and expense coordination as required
- Help create structure where structure does not yet exist
What we are looking for
- 3+ years of experience in sales coordination, sales operations, executive support, business operations, or commercial administration
- Excellent written and verbal English
- Strong organizational discipline and follow-through
- Very high attention to detail
- Comfort working across multiple systems at once without losing track of priorities
- Experience with CRM platforms such as HubSpot, Salesforce, or similar
- Strong PowerPoint / presentation and document-formatting skills
- Ability to coordinate across multiple stakeholders and move work forward without constant supervision
- Good judgment, professionalism, and discretion
- Confidence working with senior internal and external stakeholders
- Comfort in a fast-moving, sometimes ambiguous environment
- Strong digital fluency, including confidence learning new tools quickly
Nice to have
- Experience in a technology, MSP, SaaS, consulting, or professional services business
- Experience supporting sales teams, proposals, or RFP responses
- Experience working in a remote international team
- Familiarity with AI tools for note-taking, drafting, research, or workflow support
What success looks like
In the first 3โ6 months, this person should be visibly improving the operating cadence of the AI & Advisory function by:
- keeping calendars and follow-up under control
- improving meeting preparation and execution
- helping maintain cleaner pipeline and CRM records
- reducing dropped balls across internal handoffs
- producing polished materials quickly and reliably
- becoming a trusted operator for high-priority work
