We are looking for a highly organized, proactive, and detail-oriented Executive Assistant & Office Manager to join our team. This role combines office management responsibilities with administrative and business support for company leadership.

You will be responsible for ensuring the smooth day-to-day operation of the office, coordinating administrative processes, and supporting company leadership with both business and operational matters. 

 

Responsibilities:
 

Office Management

  • Organizing and ensuring the efficient day-to-day operation of the office.
  • Purchasing office supplies, equipment, and consumables.
  • Communicating and coordinating with contractors and suppliers.
  • Managing office-related expenses and administrative processes.
  • Coordinating office maintenance, repairs, and workspace management.
  • Organizing courier services, mail, and deliveries.
  • Maintaining a comfortable, organized, and productive office environment.
  • Organizing internal events, meetings, and team activities.
  • Assisting with onboarding and administrative support for employees.

 

Executive Support
 

  • Providing administrative and operational support to company leadership
  • Organizing business travel arrangements, including flights, hotels, transfers etc.
  • Handling business and personal-related requests.
  • Coordinating online and offline meetings.
  • Communicating with partners, clients, and internal teams.
  • Researching and organizing information upon request.
  • Supporting daily operational and administrative activities.
  • Managing schedules, priorities, and follow-ups when needed.

 

Requirements:

  • At least 1 year of experience in a similar position
  • Polish and English proficiency at B2 level or higher
  • Excellent communication skills
  • Strong organizational and multitasking abilities
  • Attention to detail and high level of responsibility
  • Proactive mindset and ability to make independent decisions
