Mission

The Junior Operations Manager (AI-first) is the connective tissue of the company โ€” ensuring that internal processes, cross-team coordination, and day-to-day operations run smoothly and scale as the team grows. You will use AI tools to systematize knowledge management, streamline internal communications, optimize onboarding, and maintain the operational infrastructure that keeps a 30+ person remote team functioning like a well-oiled machine.

 

Outcomes

  • Audit and document all core operational processes (onboarding, offboarding, procurement, access management, internal communications) in Notion โ€” creating a single "Operations Wiki" as the company's source of truth.
  • Reduce average new-hire onboarding time from first day to full productivity by 25% through a structured, AI-enhanced onboarding checklist and knowledge base.
  • Establish a weekly operational reporting cadence: key metrics on team capacity, time-off coverage, and cross-team blockers delivered to leadership every Monday.
  • Set up and maintain a company-wide calendar system for key events, deadlines, and recurring rituals (all-hands, team syncs, reviews).

 

Requirements

  • Active daily use of AI tools (ChatGPT, Claude, Notion AI) for documentation, communication drafting, data organization, or process design.
  • Strong organizational skills: you naturally create systems and checklists where there are none.
  • Experience with Notion for building wikis, databases, and operational dashboards.
  • Excellent written communication in English (B2+); you write SOPs, policies, and updates that are clear, concise, and actionable.
  • Ability to manage multiple parallel workstreams without dropping balls.
  • High attention to detail and follow-through โ€” nothing falls through the cracks.
  • Proactive, solutions-oriented mindset: you see a broken process and fix it before being asked.
  • 6โ€“12 months of experience in operations, business administration, chief-of-staff, or office/team management role in a tech/startup environment is a strong plus โ€” but we're also open to candidates with relevant experience in adjacent areas (project coordination, HR support, executive assistance, process management) who demonstrate operational thinking and initiative.
