Project Administrator (PMO)

We are looking for a highly organized and proactive Project Administrator (PMO) to support the operational coordination of our consulting delivery team.

This role goes beyond traditional administrative support. It requires someone who actively contributes to operational processes, helps maintain delivery discipline, and proactively identifies potential issues, bringing them to the attention of the team.

You will work closely with Project Managers, Service Delivery Managers, and Consulting teams to ensure that project processes, reporting, and communication standards are consistently followed.

This position is designed as a career growth path toward Project Manager or Service Delivery Manager roles
The successful candidate will gain hands-on experience with delivery governance, operational management, and customer-facing activities while working within an experienced international team.

 

Key Responsibilities

Operational Delivery Control

  • Monitor incidents and service activities to ensure compliance with agreed SLAs and customer communication standards
  • Identify deviations or risks and proactively escalate them to the Service Delivery Manager

Reporting and Operational Transparency

  • Coordinate team timesheet collection and ensure its completeness and accuracy
  • Prepare operational reports supporting project and service management decisions

Project Process Support

  • Support Project Managers in managing ServiceNow requests and operational workflows
  • Create and maintain structured work items and tasks in Azure DevOps

Meeting and Communication Coordination

  • Participate in project meetings and prepare clear and structured meeting minutes
  • Track follow-ups and ensure agreed actions are properly documented and assigned

Project Delivery Documentation

  • Document and maintain process guidelines and operational instructions
  • Help ensure that delivery processes are consistently followed across teams

Operational Support for Management

  • Assist Service Delivery Managers and Project managers with operational coordination
  • Support resolution of day-to-day project management and delivery questions

 

Candidate Profile

We are looking for someone who demonstrates:

  • Strong English communication skills (B2 or higher) — both written and spoken
  • Bachelor’s degree in Business Administration, Management, Project Management, IT, or a related field
  • Familiarity with project management tools (e.g., Azure DevOps, ServiceNow, Jira, or similar)
  • Understanding of project management principles and methodologies
  • Strong sense of ownership and accountability for assigned processes and tasks
  • Proactive mindset with the ability to identify and address issues independently
  • Confidence in professional communication, including the ability to clearly explain decisions when interacting with customers
  • High attention to detail and strong organizational discipline
  • Motivation and ambition to grow into delivery management roles
