Role overview
We’re hiring a Recruiting Operations Specialist to build and run the operating system behind our hiring process. You’ll own the day-to-day mechanics of recruiting: CRM structure, automation, scheduling, pipeline health, and reporting. This role exists to remove friction, keep the process fast and clean, and free up recruiters to focus on hiring great people.
🔧 What You’ll Be Doing:
Own and improve our recruiting CRM (PeopleForce): stages, statuses, templates, and data standards
Keep the pipeline healthy across all open roles by tracking progress, spotting bottlenecks, and preventing “stuck” candidates
Manage interview scheduling and coordination with Hiring Managers to keep speed high and no-shows low
Build and maintain a clean feedback cycle: reminders, follow-ups, and strict timelines after each interview stage
Create clear weekly recruiting reports for the CEO and Head of Recruitment (progress, risks, priorities)
Set up lightweight recruiting automation (notifications, templates, reminders, integrations) to reduce manual work
Improve candidate experience by ensuring fast communication, clear expectations, and a consistent process
✅ What Makes You a Strong Fit:
1+ year of experience in Recruiting Ops / HR Ops / Talent Ops, or strong recruiting operations experience inside a fast-paced team
Hands-on experience with ATS/CRM systems (PeopleForce, Greenhouse, Lever, Workable, or similar)
Strong attention to detail and high standards for data quality and process discipline
Ability to manage multiple vacancies and stakeholders without losing speed or structure
Confident communication skills: you can push for feedback, clarify expectations, and keep people accountable
English level: Intermediate+ (you can write messages, coordinate scheduling, and work with English-speaking stakeholders daily)
➕ Bonus if you have:
Experience building recruiting dashboards or reporting in Power BI / Looker / Google Sheets
Experience with Zapier / Make or basic API-based automation
Background in high-volume recruiting environments or rapid scaling phases
Experience improving SLA and time-to-hire in a measurable way
