Personal manager to CEO

Job Type: Flexible schedule, handling both personal and business tasks.

We are looking for a proactive, communicative, and well-organized Personal Assistant to the CEO, who can handle various tasks effectively. This role requires someone resourceful, capable of taking initiative, and able to assist with both personal and professional tasks. This role includes both remote work and tasks that require your presence on-site. You should be prepared to visit local services and attend meetings in Portugal (Lisbon, Cascais) to handle various matters for the CEO.
 

Responsibilities:

  • Personal and business task management: organizing creative birthday greetings for partners, finding and coordinating with local service providers.
  • Communication with partners: engaging and interacting with various contacts to solve tasks efficiently.
  • Calendar management: scheduling meetings, setting reminders, and keeping the CEO’s calendar up to date.
  • Travel arrangements: booking flights, hotels, and handling travel logistics.
  • Administrative support: assisting with minor company tasks, organizing notes, reminders, and general office support.
  • Personal errands: handling personal requests from the CEO, including organizing household-related matters in Cascais.
  • Occasional tasks: Be prepared to attend various appointments, meetings, and local services/companies in Portugal to handle tasks on behalf of the CEO.
     

Requirements:

  • Strong communication skills: able to build connections and solve problems quickly.
  • Organizational abilities: managing schedules, tasks, and priorities effectively.
  • Fluent in English (required) and Portuguese knowledge is a plus.
  • Tech-savvy: proficiency in organizational tools like Google Calendar, Trello, and MS Office.
