Operations Specialist Offline

We’re looking for an Operations specialist  /  Executive Assistant to our CEO who will grow into a department head within a couple of years.

You’ll start by supporting the CEO directly and playing a key role from day one. There’s a lot of work to do, but you’ll have all the tools and support you need — including direct and constant communication with the CEO, HR, and the team. 

 

It is a startup environment, and we are actively growing. Working hours 9 AM — 6 PM EST, remote. For big projects, meetups we expect you to be available outside of this time frame to coordinate it in real time. This is a fully remote position, so you can work from wherever you’re most productive. 

 

What you’ll do:

— Take over all administrative tasks from the CEO. This is your core mission: not to create problems, but to solve them

—  Be confident enough to negotiate deals with partners, vendors, and  own the tasks from A to Z with vendors and, team

— Oversee all incoming and outgoing communications: emails, reports, and internal correspondence

— Keep the executive’s calendar up to date: add events, reschedule appointments, and provide daily briefings

— Conduct research and create reports on various topics based on the executive’s needs.

— Plan and organize external events such as fundraisers, tournaments, and appreciation events

— Maintain a high level of organization and discretion with sensitive information

 

Example of a typical task:
We need to find a contractor to create lighting for our showroom in New York. We expect this person to take a methodical approach:

  • research the market,
  • collect quotes from contractors,
  • analyze and compare options,
  • present 2–3 top choices to the CEO with reasoning behind each recommendation,
  • hire the selected contractor,
  • and fully coordinate the entire project.

     

What you’ll need:

— Nerves of steel and an absolute rock under pressure character

— A get things done attitude

— Ability to handle sensitive information with discretion

— Ability to process and present information concisely

— Strong research, reporting, and presentation skills

— Experience in the same position or as a project manager/operations manager

— Proficiency in Google Drive, Google Calendar, Monday, Zoom, Slack

— Previous experience in the construction or window industry will be a bonus
