About the Role

We’re looking for a Digital Marketing Project Coordinator who is a tactical and execution-focused internal champion. The responsibilities cover the planning, coordination, and day-to-day management of digital marketing projects, ensuring that the strategies set by the Account Managers are effectively brought to life. The role serves as a critical link between the strategic vision and the operational execution, providing feedback and monitoring progress.

You'll be joining a friendly and sharp marketing team, currently made up of:

  • CMO
  • 3 x Digital Project Coordinators
  • Media Buying Team Lead
  • 3 x Paid Media & Analytics Specialist
  • 2 x Data & Reporting Specialist
  • Data QA Specialist

 

 

What You’ll Be Doing

  • Client & Account Management: Act as the main liaison between a strategy (set by Account Managers) and execution team, ensuring communication is clear, timely, and productive throughout the project lifecycle. You'll bridge the gap between Account Managers and internal teams, gathering precise project requirements and making sure everyone stays aligned and up to date.
  • Project Coordination: Ensure smooth coordination across the Marketing & Reporting teams by efficiently assigning tasks and tracking their progress. You’ll be responsible for: 
    - Creating detailed project plans and timelines, breaking down tasks for specialists (media buyers, analysts, etc.).
    - Coordinating the day-to-day execution of campaigns, ensuring timely and high-quality output controlling the program's budget.
    - Overseeing project management tools and documentation to maintain transparency and accountability.
  • Quality Assurance in Deliverables: Review deliverables (media plans, campaign reports) to ensure accuracy and timely completion before sending to Account Managers.
  • Sales and Reporting Support: Oversee report creation and quality control, participate in client calls to address detailed technical questions.
  • Platform and Data Management: You’ll manage client accounts on our platform, coordinate with the development team for updates, and help ensure the platform stays compliant with evolving ad network requirements.
  • Documentation & Knowledge Sharing: Regularly update our internal Wiki to ensure critical information is accessible and up to date. Your contributions will help foster a culture of transparency, shared expertise, and continuous improvement within the team.
  • Time and Resource management: Make sure the Team's workload is balanced, tasks are assigned and tracked in a timely manner.
  • Risks and Issues Management: Make sure risks are identified, tracked and mitigated at an early stage. Escalate critical issues to the Head of Digital Marketing or relevant stakeholders.

 

 

Requiered Qualifications:

  • Fluent English, both written and spoken.
  • Experience in marketing/project management — ideally in the healthcare or pharmaceutical space.
  • Confidence working with Excel and project management tools.
  • Strong communication, coordination, and multitasking skills.
  • A detail-oriented mindset with the ability to own projects end-to-end and continuously improve them.
  • Knowledge of ClickUp or similar task tracking tools.

 

Will Be a Plus:

  • Project Management certifications.
  • Previous experience of being a Project Manager within Digital Marketing Agency.
