Operations Coordinator (Logistics and Fulfillment) to $1700
We are looking for an experienced Operations Coordinator.
Responsibilities:
1. Order Fulfillment & Customer Shipment Handling
Fulfill daily orders across Shopify, Amazon, and TikTok platforms (coordinate with the warehouse manager to ensure timely shipment).
Manage multi-brand fulfillment workflows
Flag and investigate potentially fraudulent orders; contact customers for verification.
Follow internal SOPs to manage fraud-hold thresholds and documentation.
Monitor all high-risk orders until final resolution (delivered or canceled).
2. Amazon FBA & Platform Fulfillment Management
Create and send FBA shipments.
Ensure compliance with prep and labeling requirements.
Track changes in FBA requirements and update SOPs accordingly.
Own the ASIN-level shipping compliance process.
3. Claims and Returns Management
Submit and manage lost/damaged shipment claims (UPS, USPS).
Track all claims from submission through reimbursement, escalating when needed.
Coordinate customs issues (duties, documentation, reimbursements).
Handle iPostal1 returns and forward appropriately.

Log and document all return incidents for performance analysis.
4. Inventory Reconciliation & Stock Accuracy
Conduct daily/weekly/monthly reconciliations with warehouse data.
Participate in physical inventory counts.
Identify root causes of mismatches and propose improvements.
Ensure all inventory updates in systems are accurate and timely.
5. Warehouse & Logistics Oversight
Work with warehouse teams to manage inbound/outbound shipments.
Coordinate LTL shipments and manage shipment documentation.
Ensure daily warehouse reporting is clean and up to date.
Track and resolve warehouse-related issues.
Monitor warehouse KPIs (errors, packing accuracy, processing time).
6. Process Automation & Tools
Help automate logistics processes using tools like ShipStation, Zapier, Shopify Flow, etc.
Maintain templates and flows for standard shipments, influencer orders, and promotions.
Continuously improve systems for scaling fulfillment volume.
7. Reporting & Documentation
Generate weekly/monthly reports on fulfillment performance, returns, and claims.
Maintain SOPs for logistics, fulfillment, returns, and warehouse operations.
Serve as point-of-contact for internal teams (Support, Finance, Supply Chain) to resolve shipping-related issues.
8. Monitoring and Control of Product Expiration Dates
Manage and monitor expiration dates of inventory to ensure product quality, compliance, and to reduce waste or potential sales disruptions.
Maintain accurate records of expiration dates for all SKUs in the internal inventory system.
Work closely with the warehouse team to ensure that expiration dates are recorded and updated during receiving, stock checks, and outbound processes.
Conduct regular reviews of inventory to identify upcoming expirations within critical thresholds (e.g., 90/60/30 days).
Alert relevant teams (e.g., marketing, supply chain, customer service) about soon-to-expire products for promotional planning or removal.
Ensure products shipped to customers or FBA (Amazon) meet minimum shelf-life requirements.
Flag and isolate expired or soon-to-expire inventory to prevent accidental fulfillment.
Support decision-making on disposal, donation, or repackaging of expiring stock.
