We are looking for a Country Operations Coordinator
 

Requirements:

• Demonstrated experience in project coordination or operations management, ideally within a dynamic and fast-paced environment.
• Adaptability to shifting priorities and changing circumstances.
• A detail-oriented mindset to ensure precision and accuracy in documentation and reporting.
• Strong analytical skills, with the ability to interpret data and extract meaningful insights.
• Familiarity with reporting standards and the capability to prepare comprehensive summaries to support decision-making.
• A proactive approach to identifying inefficiencies and implementing effective improvements.
• Experience managing cross-functional teams and coordinating complex projects.
• Proficiency in task management and collaboration tools, such as Jira, Miro, Slack, and similar software.
• Excellent organizational skills with the ability to manage multiple tasks and projects simultaneously.
• Problem-solving abilities and strategic thinking to address operational challenges and propose actionable solutions.
• Advanced proficiency in Business English (B2 or above).

Responsibilities:

Task Management:
• Setting tasks for teams, detailing requirements, and establishing deadlines.
• Tracking progress using tools like Jira, ensuring timely updates and completion.
Project Coordination:
• Managing complex cross-functional projects with multiple teams involved.
• Documenting key agreements, changes, and project statuses for transparency.
• Ensuring efficient collaboration across teams and departments.
Process Optimization:
• Creating and maintaining systems for effective information exchange.
• Implementing structured approaches to task management for long-term company growth.
Operational Support:
• Assisting in routine operational tasks to allow Country Manager to focus on strategic initiatives.
• Monitoring deadlines, quality, and alignment of results with established goals, while managing risks through regular updates of Gantt charts to track timelines, identify potential delays, and coordinate with the Country Manager as the project owner to mitigate risks.
Information Flow and Reporting:
• Establishing efficient information flows, documenting key agreements, and ensuring their availability to all relevant stakeholders.
• Collecting, analyzing, and organizing data about ongoing tasks and issues.
• Preparing weekly reports, highlighting completed tasks, delays, blockers, and project progress for the relevant region.
Communication and Collaboration:
• Developing and maintaining communication frameworks between teams to improve efficiency, including configuring Slack channels for project teams with shared files, access rights, and participant contact details.
• Facilitating alignment of teams with the company’s objectives.
Ad Hoc and Rapid Response Tasks:
• Addressing urgent tasks or priority shifts quickly and effectively.
• Supporting immediate operational needs, such as adjusting workflows or troubleshooting issues.
Documentation and Knowledge Management:
• Maintaining and updating project documentation, guidelines, and reference materials.
