International Supplier, Order Manager

VC Gallery Milan is an international premium-segment company (luxury lighting, furniture, décor) working with clients and brands across Europe. We are looking for an organized and proactive specialist to become the key link between our sales department and European manufacturers.

In this role, you must be able to communicate clearly and professionally on an international level, manage every stage of the order process, and ensure impeccable service for our clients.

Key Responsibilities:

• Manage the full order cycle: from receiving the request from the sales team and confirming with the supplier to final delivery to the client.
• Maintain timely and clear communication with manufacturers regarding prices, lead times, customization, materials, and any order changes.
• Automate and standardize processes, monitor execution, and evaluate the efficiency of communications.
• Work with CRM (HubSpot), ClickUp, and Slack to organize workflow and transparently track all stages.
• Handle complaints, resolve disputes quickly, and prevent negative feedback.
• Coordinate with the sales team to clarify order details, statuses, and deadlines.

• Anticipate potential delays and propose solutions to minimize client impact.

   

Requirements:

• 2+ years of experience in procurement, logistics, supply chain, or B2B communications.
• Excellent English skills (written and spoken).
• Experience with CRM systems and task managers.
• Ability to manage multiple projects simultaneously while maintaining high-quality communication.
• Strong organizational skills, attention to detail, and a diplomatic approach to problem-solving.
