Job Summary:
The Office Administrator plays a key role in ensuring smooth office operations by coordinating administrative tasks and procedures. This position supports organizational  efficiency, compliance, and the quality of internal services.

 

Responsibilities Requiring Physical Assistance:
● Set up laptops for new hires or when replacing the laptops of current employees
● Manage office inventory, including furniture and equipment
● Restock office and kitchen supplies
● Organize in-office engagement events (e.g., weekly lunch arrangements)
● Supervise cleaning staff and services
● Handle the sending, receiving, and distribution of packages and documents, including post office checks
● Scan all incoming documents
● Clean and prepare meeting rooms
● Manage office cars
● Pool car selling process

 

Responsibilities Requiring a German-Speaking Individual:

● Implement Occupational Health and Safety procedures, aiming for completion in2025 (as mandated by law)
Develop and implement a set of documents in collaboration with the local vendor (including health and safety risk assessments, mental risk assessments, maternity protection risk assessments, training for the local team, and participation in Occupational Health Committee meetings)
Participate in first aid training
Participate in fire protection training
Participate in safety officer training
● Communication with e-mobility vendors
● Communication with landlord
