Who is our client?

We are hiring for a Fintech product company in the payments orchestration space. Their product opens new doors for merchants by providing a sophisticated and flexible payment solution to online merchants who want to increase profit. They work with banks, large retailers, business platforms, and large Not-For-Profits. Their teams are located internationally across the United Kingdom, Europe, US, Ukraine, and Australia.

 

You will have the opportunity to work with global leaders, payment service providers, and technology vendors across Europe, APAC, the US, and other markets while being part of the next generation of payments for merchants and the industry.

 

What is our client looking for?

A highly organised and proactive Personal Assistant to provide exceptional admin support to the Founder and CEO. This role is crucial in facilitating the smooth operation of professional and occasionally personal executive activities and ensuring effective communication between the CEO and various stakeholders. The ideal candidate will thrive in a remote work environment, demonstrating strong multitasking abilities, impeccable attention to detail, and excellent communication skills. This can be a part-time or a full-time role with flexible working hours.

 

Requirements:

Proven experience as an Personal Assistant, admin assistant, project manager or similar role, preferably in a remote setting to English speaking clients/team.

Excellent English proficiency, both written and spoken.

Capacity to multitask and prioritise effectively in a fast-paced environment.

Exceptional attention to detail with the ability to shift focus and deliver at a high quality when needed.

Proficiency in using tools such as Microsoft Office Suite, Google Workspace and project management software.

Competent design skills for using Canva, Google Slide, PowerPoint etc.

Very familiar with virtual communication tools like video conferencing platforms.

Calendar and email management.

High level of discretion and ability to handle confidential information.

Resourcefulness and problem-solving skills to resolve issues independently.

Adaptability to work in a fast-paced environment with changing priorities.

Willingness to work across time zones and support a fast paced business activity at the speed and pace of the executive team.

Ability to write and compose professional, friendly emails on behalf of the executive team.

Ability to book and organise travel.

Ability to prepare speaking notes, meeting attendee bios.

Ability to take meeting minutes and socialise with attendees.

 

High-level responsibilities:

Project Support: Assist in project coordination, including scheduling meetings, tracking progress, and ensuring deadlines are met.

Task prioritisation: Prioritise tasks and manage the CEO's workload efficiently to maximise productivity.

Administrative Support: Provide administrative assistance such as drafting correspondence, preparing reports, and organising files.

Calendar Management: Manage the CEO's calendar, schedule appointments, and coordinate meetings, ensuring all commitments are met.

Communication Management: Facilitate communication between the CEO and internal/external stakeholders, responding to inquiries and requests promptly.

Travel Coordination: Arrange travel logistics, including booking flights, accommodations, and transportation for business trips.

Meeting Support: Prepare agendas, take meeting minutes, and follow up on action items to ensure effective meeting outcomes.

 

Presentation Support: Draft presentations in Google Slides according to the company brand guide and content provided by the CEO.

Personal Support: Occasionally, as needed (such as research, online gift shopping, life admin).

Nice to haves:

Experience in working in Fintech and/or Payments.

Experience in working with Western clients

Project management skills.
