About the Role
This is a critical support role for the leadership team. You’ll work directly under our Client Service Manager and be responsible for keeping projects on time, teams aligned, and client work flowing smoothly. If you love making things run like clockwork, you’ll thrive here.
Responsibilities
- Manage and monitor project timelines, ensuring deliverables stay on track and deadlines are met
- Own and maintain our Monday.com system — ensuring all tasks are clear, updated, and time is properly tracked
- Coordinate across internal teams (design, media, dev, SEO, content) to ensure everyone is aligned and accountable
- Run daily / weekly project standups and status updates
- Flag bottlenecks, delays, and resourcing issues proactively
- Assist with basic client communication (status updates, handovers, deadline confirmation)
- Ensure project documentation, briefing structures, and creative/technical checklists are properly followed
- Maintain internal SOPs, checklists, and best practice playbooks
- Coordinate with the Client Service Manager and the leadership team on capacity planning and workload tracking
- Help improve workflows and implement tools that drive clarity and productivity
Requirements
- 2+ years of project management experience in a digital agency or high-speed tech environment
- Strong command of project management tools (we use Monday.com, Slack, and 7pace Time Tracker)
- Exceptional attention to detail — you never miss a deadline or a status change, and you deliver projects on a tight budget
- Excellent written and verbal communication skills (English)
- Ability to manage multiple teams and timelines simultaneously
- Comfort working with remote, asynchronous teams across time zones
- Familiarity with digital agency processes: design, paid media, SEO, dev, etc.
- A proactive mindset — you don’t wait to be told, you organise and lead
Bonus Points
- Experience managing creative or development workflows
- Familiarity with AI tools (e.g. ChatGPT, Midjourney, Canva AI, etc.)
- Experience in Slack-based organisations
- Client-facing experience
