Operations Manager Offline

We are looking for a structured and detail-oriented Operations Specialist to join our team.
You will help build, document, and maintain internal workflows related to access management, company tools, emails, domains, and internal documentation.

You will work closely with the current Operations Manager, gradually taking ownership of day-to-day operations and becoming the go-to person for everything related to access, tools, internal databases, and structured workflows.
 

Responsibilities

  • Maintain and update databases in Notion: employees, tools, devices, domains, social media, and documentation.
  • Track and control all paid tool subscriptions (costs, payment dates, responsible people, cancellation).
  • Manage access to tools, emails, and services via Passbolt β€” create/update/delete access based on workflow.
  • Track who owns and uses company emails and domains, and make sure they’re all stored in one place.
  • Set up and maintain 2FA and password updates for all sensitive services.
  • Assist with onboarding/offboarding workflows (emails, tools, devices, documentation).
  • Help colleagues troubleshoot tool-related issues (access lost, tool reconfiguration, password resets, etc.).
  • Help create and update internal workflows (like onboarding or access requests)
  • Analyze processes, identify bottlenecks, and suggest ways to make systems more efficient.
  • Periodically audit access, accounts, devices, and subscriptions to avoid waste.
     

Requirements

  • Strong organizational skills and attention to detail.
  • Basic technical literacy (you feel comfortable working with SaaS tools, databases, settings).
  • Ability to structure and maintain documentation in Notion (or similar tools).
  • Clear and structured communication (both written and verbal).
  • English level: B1 or higher (written and spoken β€” part of your communication will be in English).
  • Previous experience in admin/ops/support roles β€” preferred, but not mandatory.
